Property & Administrative Assistant

The Mountain Sky Conference of The United Methodist Church is seeking a Property & Administrative Assistant to provide essential support in the management and administration of conference-owned and affiliated church properties. This role serves as an important connection among conference teams, boards, and local churches, coordinating insurance, financial responsibilities, and administrative processes. The ideal candidate will be highly organized and proactive, with a strong commitment to integrity and excellent customer service.

Key Responsibilities:

- Serve as the primary point of contact for property and liability insurance matters, including communication with local churches, trustees, and Church Mutual or other insurance carriers.

- Coordinate the onboarding & offboarding of properties into the system, including initiating liability insurance coverage and ensuring proper documentation.

- Proactively monitor and track insurance premium payments to ensure timeliness and accuracy.

- Partner with Accounts Payable to ensure appropriate payments are made for active properties and discontinued for sold or closed properties.

- Assist in maintaining accurate records of conference property assets, including fixed assets and disposals.

- Collaborate with the Board of Trustees regarding property status changes, insurance coverage, and related decisions.

- Support annual insurance renewal processes and managing church opt-out eligibility in coordination with leadership and trustees.

- Assist with audit preparation by gathering and organizing documentation.

- Update policies and procedures related to property and insurance management as directed by leadership.

- Participate in meetings as needed.

- Utilize systems such as Blackbaud, Excel, and other data tools (e.g., Datto) to track financial activity and property records.

- Coordinate closely with accounting staff on insurance-related payments, reconciliations, and reporting.

- Ensure accuracy in financial tracking related to property and insurance obligations.

- Manage incoming and outgoing mail, including weekly post office pickups, sorting, scanning, and distribution.

- Maintain a log of all incoming checks and coordinate with appropriate departments for processing.

- Work with Annual Conference Statistician to coordinate and manage the annual statistical reporting process for local churches

- Order and manage office supplies, including inventory tracking and postage.

- Serve as a point of contact for general inquiries within the Responsible Stewardship department.

- Support leadership in coordinating logistics for meetings, including scheduling Zoom meetings and distributing meeting notes.

- Assist with meal coordination for the Annual Conference retiree celebration.

- Serve as a liaison and coordinator for internal systems (e.g., Anchor), including supporting onboarding and offboarding processes and coordinating equipment needs.

- Be available for additional on-site support as needed.

- Other duties as assigned.

Qualifications

- Associate’s degree is required.

- At least 2 years of accounting experience is required.

- At least 2 years of experience working in a church or nonprofit environment preferred.

- Working knowledge of basic accounting principles and financial processes.

- Experience with financial and data systems (e.g., Blackbaud, Excel) strongly preferred.

- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.

- High level of integrity and ability to maintain confidentiality.

- Self-starter with the ability to work independently, think proactively, and solve problems effectively.

- Strong interpersonal and customer service skills, with the ability to communicate clearly across diverse stakeholders.

- Ability and willingness to become familiar with United Methodist Church polity, structure, and practices.

Additional Considerations:

- Hybrid schedule, with the expectation of in-office presence on designated days.

- $24.00 – $26.00 per hour.
