About this role

- PRIMARY PURPOSE OF POSITION:

The Health Information Clerk plays a crucial role in the smooth operation of the nursing unit by providing administrative support to the nursing staff and ensuring effective communication within the unit.

II. CUSTOMERS/CLIENTS SERVED BY POSITION:

Board members, Staff, Residents, family members, guests, vendors and other outside clients served by Ovation Communities.

III. Qualifications:

- High School diploma or equivalent.

- At least one year pf clerical experience in a health care setting. Experience in a senior living center preferred.

- Experience as a Certified Nursing Assistant (CNA) preferred.

- Must be able to read, write and speak the English language

IV. JOB DUTIES:

- Performs clerical duties such as answering phones, managing patient records, scheduling resident appointments and transportation, and handling correspondence.

- Serves as a liaison between nursing staff, patients, families, and other healthcare professionals to facilitate effective communication.

- Greet and assist visitors, ensuring they follow facility protocols and providing them with necessary information.

- Prepares documents for emergency resident transfer needs.

- Assists with the admission process by preparing necessary paperwork, verifying insurance information, and orienting new patients to the unit.

- Maintains accurate and up-to-date patient records, including admission and discharge information, medical histories, and treatment plans. Accurately scans/enters resident information into electronic health record (EHR) and other databases.

- Assembles discharged medical records in a timely and accurate manner and deliver to Medical Records department.

- Monitors and orders office supplies and medical equipment as needed to ensure the unit is well stocked.

- Ensures compliance with all regulatory requirements and facility policies and procedures.

- Provides excellent customer service to patients, families, and visitors, addressing their needs and concerns promptly and professionally.

- Promptly notifies Nurse Manager/designee of all concerns, grievances, complaints.

- Maintains and promotes all professional aspects of HIPAA.

- Communicates with Nurse Manager throughout shift to coordinate efforts and to meet resident and staff needs.

- Uses personal protective equipment when indicated by exposure control plan; comply with all infection control procedures.

- Attends in-service education programs as scheduled.

- Performs other duties as assigned.

- Able to manage multiple tasks.

- Working knowledge of the facility record keeping policies and procedures and ability apply knowledge to job tasks.

- Sufficient interpersonal skills and maturity to communicate effectively with professional staff, direct care staff, physicians, consultants, residents, visitors and others in person and on the telephone.

- Ability to establish approximate priorities for receiving, recording, relaying and acting on information and to maintain organization on all unit clinical and administrative records.
