Job Description:

This recruitment will be used to fill one part-time (a maximum of 24 hours per week) Student Front Desk Receptionist for the Division of Ecampus at Oregon State University (OSU).

The Division of Ecampus is a growing, innovative, and collaborative organization with a commitment to providing high-quality online education. The division extends Oregon State University’s exceptional learning experiences including microcredentials, certificates, and degrees available to students throughout Oregon and around the world.

The division includes Ecampus, offering over 130 online and hybrid degree programs; the Ecampus Research Unit (ECRU), conducting and supporting original research in online teaching and learning; the Corporate and Workforce Education Unit (CWE), creating pathways for learners employed by collaborators in business and government; the Open Educational Resources Unit (OER), aiding faculty in adopting open course materials; and the Alternative Credential Unit (ACU), developing short-form educational opportunities.

As the initial point of contact in the office, the Student Front Desk Receptionist is responsible for addressing the needs of visitors and internal faculty and staff. They welcome visitors into the office suite and connect them with their meetings. The Student Front Desk Receptionist also engages in routine and hands-on activities throughout the office and completes detail work accurately. They also may support the Course Development and Training unit (CDT) by captioning online courses.

This role involves independently tracking routine duties and assigned areas of responsibility, applying a proactive approach to problem-solving and information retrieval, and taking the initiative to be resourceful.

While covering the front desk the Student Front Desk Receptionist also has periods of downtime in which they may work on their schoolwork although this is not to take priority over job duties and responsibilities.

Position Duties:

Reception and Customer Service

- Greet and assist a variety of visitors to the office suite and ensure a welcoming and inclusive atmosphere, while politely directing visitors and helping maintain a secure office environment
- Notify staff when their guests have arrived and provide directions to rooms and other locations
- Check conference room schedules and individual calendars for meeting information, make conference room reservations as requested
- Relay messages and follow up with staff by email, messaging applications or phone
- Answer the Library Administration phone line and transfer calls
- Become knowledgeable about office operations, locations, resources and supplies
- Manage loan equipment check out/in for Ecampus staff
- Send out email notifications to staff per front desk coordinator request and direction
- Opening/closing duties for the lobby and office area

Office Support

- Clean and maintain shared spaces weekly, including watering the office plants
- Pick up, deliver and distribute mail and packages, create new mailboxes as needed or requested
- Clear out cardboard recycling and submit pick-up requests for recycling bins
- Charge and update the Division of Ecampus checkout laptops
- Assist in unpacking and putting office supplies away, organizing office supplies, and tidying the supply closet
- Manage surplus shelves and submit pick-up requests
- Assist staff with conference room technology, troubleshoot technology issues
- Provide assistance with printing and resolve basic copy machine issues, refill copy paper trays and change toner
- Assist in the cleaning out and preparation of offices and cubicles

Other Duties as Assigned:

- Provide captioning support for the Course Development and Training unit (CDT). This work is completed away from the front desk in 1-2 hour blocks and involves selecting Ecampus courses to caption using the task management platform Asana
- Other tasks could include, but are not limited to, researching information/products, creating/updating spreadsheets, data entry, scanning books or documents, event support, preparing mailings, assisting in the training of new student employees, assembling furniture, and running errands between buildings

- Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
- Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
- Must meet the applicable minimal enrollment standard High School student: Regularly enrolled in a high school or participating in a home-schooling program
- Undergraduate and post-baccalaureate student: 6 credit hours per term
- Undergraduate international student: 12 credit hours per term*
- Graduate student officially admitted to Graduate School: 5 credit hours per term
- Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the  Office of International Services  (OIS), and must be provided to the Student Employment Center.

Required Qualifications:

- Currently enrolled Oregon State University undergraduate student.
- Previous customer service experience.
- Must be responsible, personable, reliable, and have a strong work ethic.
- Must have strong written/verbal communications skills.
- Attention to detail, accuracy and the ability to see projects through to completion.
- Strong ability to quickly learn new software applications and proactively resolve routine office technology issues.
- Ability to research information from a variety of online sources and previous communications to perform duties.
- Ability to take initiative on recurring tasks.
- Ability to maintain regular, consistent, and reliable attendance.
- Must be available to work at least 15 hours per week.
- A demonstrable commitment to inclusive excellence.

Preferred Qualifications:

- Completed at least one term at Oregon State University (OSU) upon applying for the position.
- Available to work fall term 2026, Mondays (mornings), Tuesdays (midday), Wednesdays, and Fridays.
- Willing to start work at 8:00 a.m. or end work at 5:00 p.m. when academic schedule allows.

# Working Conditions/Schedule:
• Work is performed on site in an office environment at the Valley Library on the Oregon State University campus in Corvallis, Oregon.

• Hours of operation: Monday - Friday, 8:00 am - 5:00 pm.

• Position requires in-person attendance and regular interaction with students, faculty, staff, and visitors.

• Duties are performed in a professional office setting and include the use of computers, copiers, filing systems, and other standard office equipment.

• Expected work hours range from 15 to 24 hours per week.

• Position requires coverage of the front office desk during scheduled shifts.

• Work involves sitting for extended periods, as well as occasional standing, walking, lifting boxes, cleaning, assembling office furniture, captioning work (transcribing), and light filing or administrative tasks.
