Administrative Coordinator, Alumni Engagement
Position Summary
The Administrative Coordinator provides administrative, operational, and customer service support for alumni relations programs and activities. This position assists with alumni engagement initiatives, events, communications, database management, and office operations to help foster meaningful and lifelong relationships between alumni and the institution.
Essential Duties and Responsibilities
Administrative Support
- Serve as a primary point of contact for alumni inquiries via phone, email, and in person.
- Serve as an Alumni Association Board of Directors liaison.
- Assist with the development and distribution of alumni communications, including the monthly alumni newsletter, board emails, and event invitations.
- Maintain accurate alumni contact information and update records in the alumni database
- Support outreach efforts to increase alumni participation and engagement.
- Assist with the Alumni Account budget tracking, purchase requests, transfer of funds, and vendor communications.
- Prepare correspondence, reports, presentations, and meeting materials.
Event Coordination
- Ownership of planning, organizing, and implementing of the Fall and Spring Craft Fairs – crafter relations, registration, space reservations, and set-up
- Assist the Director in the development of Alumni affinity opportunities, and special programs.
- Attend board and committee meetings
- Coordinate alumni event logistics, including registrations, confirmations, materials, catering, and venue arrangements.
- Prepare event materials such as name badges, attendee lists, signage, and promotional items.
- Provide on-site support during events, including setup, registration, and follow-up activities.
- Manage office supplies and support general departmental operations.
Alumni Association Board Support
- Assist the Director with agenda development for Full Board and Executive Committee meetings. Attend and take minutes for all Board and Committee meetings.
- Send correspondence (email) to current and emeritus board members, and committee members.
Support Alumni and Student Engagement as Relates to Collaborative Events
- Assist the Director as needed identifying alumni interested in supporting the career development of NCC students through mentoring, networking, and career-related programs.
- Provide clerical support for initiatives to engage alumni, students, and employers.
- Support Career Development staff as needed.
Required Qualifications
- Associate degree (Minimum High School Diploma) or relevant work experience
- One to three years of administrative, customer service, event support, or higher education experience preferred.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Ability to manage multiple priorities and meet deadlines.
- Strong interpersonal skills and commitment to customer service.
Physical Requirements
- Ability to sit, stand, and work at a computer for extended periods.
- Occasional lifting of materials up to 25 pounds.
- Availability for occasional evening and weekend events.
