Job Description

We are seeking an organized and detail-oriented Senior Office Admin to support the company's daily administrative, financial, and business operations. This position will coordinate administrative activities, manage vendors and purchasing, provide Accounts Payable (AP) and Accounts Receivable (AR) support, assist with expense management and reporting, and provide general support to management and various departments.
The ideal candidate will have 1-3 years of office management, administrative, accounting support, or related experience. Strong organizational skills, attention to detail, communication skills, and proficiency with Microsoft Office and accounting/ERP systems are preferred.

Job Responsibilities

- Process and support daily Accounts Payable activities, including invoice review, coding, approvals, purchase order matching, and payment preparation.

- Reconcile vendor statements, research discrepancies, and coordinate with vendors and internal departments to resolve outstanding AP issues.

- Support Accounts Receivable activities, including customer invoicing, credit memos, cash application, and maintenance of accurate customer accounts.

- Monitor outstanding customer balances, assist with collections follow-up, and research and resolve billing and account discrepancies.

- Assist with monthly and year-end financial close activities, including account reconciliations, accruals, schedules, and supporting documentation.

- Review and reconcile employee expenses, credit card transactions, bank activity, and other financial transactions as assigned.

- Prepare and maintain financial reports, AP/AR aging reports, spreadsheets, and other accounting and management reporting.

- Maintain accurate, organized, and confidential financial, customer, vendor, and administrative records and provide documentation for internal and external audits.

- Provide general administrative and management support, including preparing business documents, coordinating meetings, maintaining schedules, and supporting company activities.

- Assist with special accounting projects, process improvement initiatives, and other duties as assigned by management while maintaining confidentiality of company, employee, customer, and financial information.

Job Requirements

- Required
1-3 years of office management, administrative, accounting support, AP/AR, or related experience.
Basic understanding of accounting principles and AP/AR processes.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Strong attention to detail and accuracy.
Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
Ability to work from the office five days a week.
Strong problem-solving and interpersonal skills.

- Preferred
Experience with SAP, Oracle NetSuite, QuickBooks, or other ERP/accounting systems.
Previous experience supporting both Accounts Payable and Accounts Receivable.
Experience with vendor and customer account reconciliation.
Experience with month-end closing activities.
