Senior Facilities Manager

Position Summary:

The Senior Facilities Manager leads a team of facilities associates in the delivery of and is responsible for the day-to-day facility operations, services, and maintenance activities at our client’s corporate headquarters building in uptown Charlotte, NC. The position ensures client assets are operated and maintained in a cost effective non-impacted manner while providing a safe, clean, and comfortable work environment. The Senior Facility Manager develops budgets, controls costs, coordinates service provider(s), staff activities and is a change agent for the implementation and management of facility performance for our client. Leveraging organization skills, problem solving, and creative thinking, the Senior Facility Manager resolves escalated issues, drives continuous process improvement and team development in a dynamic environment. The position provides regular performance feedback, development and coaching to direct reports and will work closely with the client’s peers to drive consistency and govern the performance.  Extensive interaction with internal and external customers is required to ensure seamless delivery of these services while meeting JLL’s goal to provide our clients with the highest level of customer service available.

Essential Functions:

- Ensure compliance with portfolio wide initiatives, local, state and federal laws, and governing regulations that pertain to the operating of facilities on behalf of the client as owner.
- Manage a facility operating budget with the clients’ goals and objectives addressed for the assigned headquarters facility.
- Provide routine (monthly/quarterly/annual) reporting appropriate for the client, track variances and ensure smooth recovery process within established targets.
- Achieve cost savings through maximizing utilization of suppliers and preferred vendors/contractors and by identifying additional efficiency opportunities, consistent with client goals.
- Survey the assigned facilities based on an established grading program including the mechanical equipment, building shell, interior finishes, energy effectiveness, etc. and develop recommendations for improvements and future capital planning.
- Develop and maintain a high-performance team utilizing HR top grading and other tools for hiring, talent and succession planning, and development planning.
- Manage the staffing, development, performance and outcomes of assigned team reporting to the position or indirectly through the client’s personnel.
- Ensure performance reviews and other HR procedures and duties for line staff are conducted according to policy, i.e. submission of compensation (base salary, bonus, merit increases, promotions) for review and approval.
- Collaborate with JLL account-based Sourcing team on national and regional sourcing opportunities to define scope, coordinate supplier walk-throughs, and manage national and regional supplier performance at the property level.
- Source services and goods needed to perform day-to-day operations through 3rd party suppliers. This includes working with the JLL account-based Sourcing team to develop scope of work definition while engaging in negotiations, writing contracts, obtaining necessary vendor set up forms, and reviewing certificates of insurance for compliance.
- Coordinate with the JLL Vendor Management team discussions with each vendors and/or suppliers regarding goal setting, performance criteria, and performance review.
- Ensure client satisfaction with Facility Management by providing a seamless interface into client real estate organization. Demonstrate leadership, responsiveness and creativity in delivering services.
- Accountable for the accuracy and timely updates to all systems data utilized for the account process, procedures and operating metrics supporting IFM.
- Proactively manage all facility services and communications in accordance with account and client standard processes, procedures, operating metrics, and KPIs to ensure superior customer satisfaction and performance levels.
- Manages building operations for utility, facility, or other shut-down activity that can affect operations.
- Effectively manage critical Incidents – Target of zero controllable incidents caused by vendors, employees, and missed preventive maintenance work.

- Strong organizational, management, and supervisory skills
- Experience in matrix management organization desirable
- Property Management and/or High-Rise Management experience a plus
- Proven experience working with and supporting office-based and commercial Tenants
- Knowledge of real estate, telecommunications, furniture, accounting and building systems
- Advanced computer skills with emphasis on Excel with the ability to analyze data
- Proven working knowledge of real estate systems such as CMMS systems and/or project management systems

Financial Management:

- Strong and proficient financial acumen including, but not limited to, detailed budgeting, reforecasting and negotiating contracts
- Development and management of the annual operating expenses at budgeted levels and monthly forecasts
- Effective vendor management ensuring adherence to contract and driving opportunities for cost savings
- Ability to work within a Work Order system and effectively analyze portfolio work order data to identify emerging trends
- Strong contract knowledge and understanding of risk mitigation

Supervisory Responsibilities:

- The Senior Facility Manager will lead team of approximately ten (10) static Facility Management individuals responsible for delivering services at our client’s Corporate Headquarter facility.

Working Environment:

- The job is performed in an environment within office, mechanical, and c-suite areas.
- This position requires extensive contact with internal and external customers in order to be effective.

Minimum Required Education/Experience:

- Bachelors degree or equivalent work experience in Facilities Management with management/technical emphasis
- Minimum of eight (8) years of facility management experience in Class A space with administrative/technical experience and knowledge of physical property systems or ten (10) years in the corporate environment, third party service provider or as a consultant with demonstrated ability to exercise proper judgment
- CPM, RPA or CSM designation is preferred
