The Warranty Administrator plays a vital role in ensuring homeowners and builders receive responsive, reliable, and exceptional service long after project completion.

This role serves as the communication hub between homeowners, builders, and the internal production team. The Warranty Administrator will manage warranty requests, coordinate schedules, maintain accurate documentation, and ensure every service interaction reflects Stancils values of professionalism, integrity, and care.

ESSENTIAL JOB FUNCTIONS

- Review builder warranty portals and email requests to create work orders based on provided repair lists.

- Manage scheduling and ensure the timely completion of warranty and service requests.

- Communicate with the Warranty Manager on scheduling, workflow, and any necessary changes.

- Confirm job readiness and schedule appointments directly with homeowners.

- Maintain strong builder relationships by responding promptly to inquiries and documenting all actions taken.

- Respond to builder or field inquiries by reviewing prior requests, gathering relevant information, and ensuring responses are accurate, complete, and clearly understood.

- Record and track all builder communications and warranty documentation to ensure accountability and organization.

- Communicate frequently with homeowners, managers, and field employees regarding project and service status.

- Manage the Warranty/Service schedule to ensure commitments are met and priorities are aligned.

- Handle homeowner interactions professionally, resolving concerns with empathy and composure.

- Other related duties as assigned.

Qualifications

EDUCATION, EXPERIENCE AND TRAINING

- High school graduation or equivalent (i.e., GED, college, technical or trade school transcript, foreign equivalency, etc.)

- Microsoft Suite.

- Knowledge of accounting software preferred but not required (Sage, etc.)

- Ability to learn new software systems specific to business.

- Interpersonal skills are essential, as working as a team is vital to maintaining an organized team.

- Ability to work with company departmental heads and field agents to ensure smooth work operations.

- Ability to achieve operational objectives within the set deadline and on budget.

- Performing this job requires frequent uses of hands to handle, control, or feel objects, tools, or controls.  Must be able to sit, talk, hear, and stand frequently throughout the day.

- This position requires working in an office environment.
