Vehicle Operations and Inventory Supervisor - CarSimple

CarSimple is seeking a highly organized, detail-oriented, and hands-on Vehicle Operations and Inventory Supervisor to oversee vehicle inventory management, lot operations, and retail readiness activities. This role will be responsible for coordinating, supervising and directing all aspects of the Sales Lot Attendant associates while maintaining high-quality productivity and leadership is responsible for ensuring efficient inventory control, coordinating vehicle flow from acquisition through sale, supervising lot operations, supporting lead management activities, and maintaining accurate inventory information across multiple platforms.

Key Responsibilities and Accountabilities:

- Inventory Operations
- Manage inventory control processes and maintain accurate vehicle tracking records.
- Coordinate vehicle acquisition and intake activities.
- Ensure inventory accuracy, documentation, and data integrity across all systems.
- Organize, record, and reconcile invoices and inventory-related documentation.
- Provide auction-related inventory support, including arbitration assistance and issue resolution.
- Prepare and maintain operational reports and inventory performance metrics.
- Coordinate inventory-related activities with Buyers, Sales, Finance, and Operations teams.
- Support inventory audits and compliance requirements.

Lot and Vehicle Operations

- Supervise and coordinate daily activities of the lot team.
- Manage vehicle inspections and intake processes.
- Coordinate reconditioning, detailing, repairs, and maintenance activities.
- Liaise with external vendors and service providers to ensure timely completion of work.
- Monitor vehicle movement and lot organization to maximize efficiency and presentation.
- Schedule and prioritize workflow to meet operational and sales requirements.
- Ensure vehicles are prepared and available according to established timelines.

Retail Readiness and Merchandising

- Coordinate vehicle photography and 360-degree imaging.
- Manage vehicle listings and inventory presentation across online platforms.
- Support merchandising activities to enhance vehicle visibility and marketability.
- Coordinate pricing updates and merchandising changes with management and sales teams.
- Monitor retail readiness status and ensure vehicles are market-ready.
- Assist with lead management activities and customer inquiry follow-up processes.
- Coordinate vehicle deliveries and customer handover preparations.
- Provide AI inventory information and data support to improve vehicle descriptions, listings, and inventory accuracy.
- Ensure all online inventory information is complete, accurate, and current.

Experience and Qualifications:

- Post Secondary Education in areas such as Operations Management, Supply Chain or Inventory Management, Logistics Management or a combination of education and experience
- Previous experience in automotive inventory management, lot operations, vehicle merchandising, or dealership operations.
- Knowledge of vehicle reconditioning, auction processes, and retail vehicle preparation is considered an asset.
- Supervisory or team leadership experience preferred.
- Experience in all aspects of guest service and people management.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Experience with inventory management systems, CRM platforms, and dealership software.
- Proficient in Microsoft Office, particularly Excel and reporting tools.
- Strong attention to detail and data accuracy.
- Excellent communication and interpersonal skills.
- Ability to work collaboratively with sales, finance, buyers, vendors, and operational teams.
- Professional appearance and manners.
- Strong problem identification and problem resolution skills.
- High level of sound and independent judgment and reasoning.
- Ability to interpret and implement company policies and procedures.
- Must have valid driver's license and clean driving record.
