ABOUT THE ROLE

The Project Management Associate provides vital administrative and coordination support to the Engineering Project Management Office (PMO) at ADASI. The role is responsible for ensuring smooth execution of project documentation, reporting, scheduling, data management, and coordination across multiple engineering programs. This position acts as the operational backbone for project managers, enabling efficient communication, compliance, and delivery in a high-tech, defense-focused environment.

RESPONSIBILITIES

Project Support & Coordination:

- Assist project managers in the creation and maintenance of project documentation, including project charters, Gantt charts, action trackers, and status reports.

- Coordinate and prepare materials for project meetings, design reviews, and progress briefings, ensuring accurate records are kept.

- Support project schedule updates, milestone tracking, and risk log administration in coordination with engineering leads.

- Follow up on action items, stakeholder inputs, and pending tasks to support project flow and timely completion.

Document Management & Compliance:

- Ensure all project documentation complies with internal governance procedures and defense industry standards.

- Maintain configuration-controlled records including requirements matrices, engineering logs, change requests, and meeting minutes.

- Administer updates in document management systems (e.g., SharePoint, Confluence, PLM platforms) to reflect real-time project status.

Communication & Reporting:

- Consolidate project data to support weekly/monthly reporting, dashboards, and KPI updates for senior management.

- Act as the point of contact for logistical coordination between engineering teams, support departments, and external vendors.

- Support communication between cross-functional teams including procurement, quality, and manufacturing to ensure alignment.

Administrative Support:

- Manage calendars, logistics, and scheduling of internal/external reviews, program workshops, and customer engagements.

- Assist in the preparation and formatting of technical presentations, procurement justifications, and executive summaries.

- Help maintain compliance with EDGE Group reporting standards, templates, and documentation policies.

BASIC QUALIFICATIONS

- Bachelor’s Degree in Engineering Administration, Project Management, Business Administration, or related field (REQUIRED)

- Certifications in Project Coordination, Project Support, or Office Administration (PREFERRED)

- Minimum 3-8 years of administrative or coordination experience in an engineering, aerospace, defense, or technical project environment

- Experience supporting multi-disciplinary teams within a structured project management framework (waterfall, agile, or hybrid)
