Job Description

We are looking for a highly organised, proactive and service-minded Executive Assistant and Office Manager to provide high-level support to senior stakeholders and ensure the smooth day-to-day running of our Munich office. In this role, you will combine executive support, office management and people leadership responsibilities, acting as a trusted point of contact for internal and external stakeholders.

YOUR TASKS

- Provide professional executive assistance to c-level and Partner roles, including complex calendar management, meeting coordination, travel arrangements and expense processing.
- Prepare, review and coordinate correspondence, reports and other confidential documents in English and German.
- Manage day-to-day office operations, ensuring a welcoming, efficient and well-organised working environment.
- Lead and coordinate a small office support team of 3-4 people, ensuring clear priorities, effective collaboration and high-quality service delivery.
- Support internal meetings, events, visitor management and employee engagement activities.
- Drive continuous improvement of administrative and office processes, identifying opportunities to increase efficiency and service quality.
- Handle sensitive information with a high level of discretion, professionalism and trust.

Qualifications

WHAT WE EXPECT FROM YOU

- Several years of experience as an Executive Assistant, Office Manager, Team Assistant or in a comparable administrative role, ideally in a professional services, consulting or international business environment.
- Fluency in both English and German, written and spoken, with the ability to communicate confidently and professionally across all levels of the organisation.
- Initial leadership or coordination experience, with the ability to guide, motivate and develop a small team.
- Excellent organisational skills, strong attention to detail and the ability to prioritise effectively in a fast-paced environment.
- A proactive, hands-on and solution-oriented mindset with a strong service orientation.
- Confident handling of Microsoft Office applications and digital collaboration tools.
- High level of discretion, reliability and professionalism when dealing with confidential information.
- Strong interpersonal skills and the ability to build trusted relationships with colleagues, leaders and external partners.
