What You'll Do
You will support the delivery of a high-quality workplace experience across Gurgaon offices, with primary responsibility for F&B operations, Front Office and employee-facing services, and operational support for office-level meetings & events.
The role will independently manage day-to-day service delivery within the assigned role, coordinate with internal stakeholders and external vendors, maintain operational controls and MIS, and proactively identify and resolve service issues.
Working closely with the Manager – Office Operations, you will help translate defined service standards into reliable day-to-day execution, with a strong focus on employee experience, service excellence, operational discipline and continuous improvement.
Key Responsibilities
1. F&B Operations
- Manage day-to-day pantry and meal operations, ensuring service readiness and adherence to agreed standards.
- Coordinate weekly menu planning, minimum guarantees (MGs), regular/special meals and F&B requirements for meetings and in-office events.
- Manage pantry/FMCG inventory and consumption in line with agreed product matrices, consumption norms and budgets.
- Conduct regular kitchen and pantry inspections, food quality checks and hygiene reviews; document observations and follow through on corrective actions.
- Coordinate day-to-day activities with F&B vendors and monitor delivery against agreed SLAs/KPIs and service standards.
- Validate consumption records, supporting documentation and vendor invoices before submission for review/processing.
- Maintain F&B trackers and MIS covering consumption, inventory, service performance, billing and operational issues.
- Proactively identify recurring service gaps and recommend practical improvements to employee experience, quality and cost effectiveness.
2. Front Office & Visitor Management
- Support smooth day-to-day Front Desk operations and ensure a professional, consistent and service-oriented experience.
- Oversee operational execution of the visitor journey, coordinating with reception/security, hosts and relevant internal teams as required.
- Coordinate arrangements for global visitors, senior leadership and other important office visits, ensuring readiness of relevant workplace services.
- Monitor front-office service issues and ensure timely resolution or escalation.
- Manage incoming and outgoing mail/courier operations, including coordination, tracking and resolution of exceptions.
- Coordinate business card requests, including request validation, vendor follow-up and timely issuance.
- Maintain relevant Front Office trackers, records and MIS and ensure information remains accurate and current.
3. Employee Services & Onboarding
- Partner with the HR team to Coordinate Office Operations readiness for new hires, including access/ID readiness, joining kits and other Day One requirements.
- Maintain new-joiner trackers/MIS and coordinate with relevant teams (HR/ local IT) to ensure readiness ahead of joining dates.
- Support exit formalities, including Office Operations clearances and recovery of applicable items/assets.
- Coordinate operational requirements for employee milestones and recognition, including trophy procurement and associated logistics.
- Manage operational execution of corporate/team gifting and gift vouchers, including vendor coordination, inventory/tracking and distribution.
4. Office-Level Events & Meeting Support
- Partner with the Manager and Affiliation team to support the operational execution of in-office events, townhalls, leadership meetings and employee engagements.
- Coordinate F&B, room/space readiness, vendor requirements and other Office Operations logistics.
- Support functional and team meetings requiring special F&B or workplace arrangements.
- Conduct pre-event readiness checks and coordinate with relevant internal teams and vendors to ensure timely execution.
- Provide on-ground support during key events/meetings and proactively address operational issues.
- Support post-event closure of Office Operations requirements, including vendor documentation, invoices and relevant feedback/action items.
5. Communications & Operational Information
- Support drafting and dissemination of Office Operations communications, including F&B updates, service information, office guidelines and employee advisories.
- Maintain relevant distribution lists and ensure accuracy of employee communication groups.
- Support administration of relevant Slack channels, ensuring timely dissemination of operational information and updates.
What You'll Bring
- A minimum of 6 years of relevant functional experience in Office Operations, Workplace Services, Hospitality, F&B, Front Office, or a similar service-delivery environment within a multinational organization, along with the ability to quickly build and apply strong process and operational knowledge.
- Strong ownership and execution orientation, with the ability to independently manage assigned responsibilities, prioritise competing requirements and consistently deliver high-quality outcomes within agreed timelines.
- A practical and proactive problem-solving mindset, with the ability to identify issues early, understand root causes, develop workable solutions and exercise sound judgement on when to resolve independently versus escalate.
- Strong service and employee-experience orientation, with an eye for detail and a focus on delivering reliable, consistent and high-quality workplace services.
- Analytical and data-driven approach, with comfort working with operational MIS, service metrics, consumption data, vendor performance and other information to identify trends and generate practical insights.
- Effective vendor management skills, with the ability to monitor service delivery against agreed standards/SLAs/KPIs, follow through on commitments and drive timely closure of operational issues.
- Clear and effective communication skills, both written and verbal, with the ability to tailor communication appropriately across employees, vendors and internal stakeholders and confidently manage day-to-day operational conversations.
- Strong collaboration and stakeholder-management skills, with the ability to work effectively across Office Operations, Affiliation, HR, IT, Finance and other teams while proactively managing dependencies.
- Adaptability and composure in a dynamic environment, with the ability to respond effectively to changing priorities, important visits, events and unexpected operational requirements.
- A continuous-improvement mindset, proactively identifying opportunities to simplify ways of working, improve service quality, strengthen employee experience and enhance operational efficiency.
