THE ROLE
We are looking for a highly organised and proactive Legal Administrative Assistant to support the Legal and G&A teams in the Netherlands. The role will focus on document management, legal administration, board and company secretarial support, compliance tracking, and coordination with internal and external stakeholders. This position requires strong attention to detail, reliability, and fluency in both Dutch and English.
RESPONSIBILITIES
• You will organise, maintain, and track legal documents, contracts, minutes, resolutions, and corporate records.
• You will prepare, edit, file, and archive legal documents, ensuring physical and digital records are complete, current, and easy to retrieve.
• You will coordinate courier, post, dispatch, and circulation of documents to relevant departments, directors, notaries, and external stakeholders.
• You will coordinate document execution, notarisation, legalisation, and related administrative formalities.
• You will assist with purchase orders, invoices, and basic reporting for legal services, while providing general administrative support across the Corporate Services function.
• You will support the execution of legal documents by local directors, including minutes, resolutions, agreements, and related documents.
• You will prepare draft minutes for local board meetings and support the preparation, tracking, and archiving of meeting documentation.
• You will maintain and update the corporate books of the Dutch companies and support corporate governance activities, including entity records and registrations.
• You will manage or support filings with local authorities, including the Chamber of Commerce, tax authorities, and other relevant bodies.
• You will order tax certificates and commercial register extracts as required.
• You will track compliance obligations, communicate responsibilities, and maintain evidence of completion.
SKILLS
• You should be fluent in Dutch and English; both languages are mandatory for this role.
• You should have experience in legal administration and company secretarial services.
• You should be highly organised and detail-oriented, with the ability to manage multiple priorities effectively.
• You should have strong communication skills and a proactive, reliable working style.
• You should be comfortable working with legal documents, corporate records, and administrative processes in a professional environment.
