Legal Assistant II
The Legal Assistant II provides comprehensive administrative and litigation support to attorneys and paralegals throughout the litigation phase of case management. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment.
Essential Duties and Responsibilities
• Collaborate closely with paralegals to provide administrative and litigation support on assigned matters.
• Review and provide supportive guidance regarding binders and case materials prepared by Legal Assistant team members to ensure compliance with firm standards.
• Monitor Lit Serv activities/schedule to ensure timely and accurate completion. Provide supportive guidance to Legal Assistant team members. Support schedule changes during employee absences.
• Manage a high volume of scheduling activities, including depositions, mediations, hearings, and trials, while coordinating and confirming availability with opposing counsel and other parties.
• Review court calendars and scheduling dockets to determine judicial availability and secure hearing dates.
• Identify and escalate scheduling conflicts, case issues, and deadlines to the assigned paralegal as appropriate.
• Assist trial teams with trial preparation, including assembling trial binders, exhibits, and drafting correspondence to clients, witnesses, and expert witnesses.
• Assist in coordinating trial logistics and materials, including transportation and delivery of documents and exhibits to and from the courthouse during trial proceedings.
• Request, obtain, and organize medical records, billing records, and lien information for assigned cases.
• Maintain and update medical specials and case-related damages information, ensuring records are current and accurate in preparation for hearings, mediations, settlement discussions, and trial.
• Perform additional litigation support duties and special projects as assigned.
Minimum Qualifications
• Associate degree in Paralegal Studies or a related field preferred.
• Proven record of dependable attendance, punctuality, and accountability, with the ability to consistently meet deadlines and provide timely support to attorneys, paralegals, and case teams.
• Ability to manage multiple priorities, work independently, and collaborate effectively within a team environment.
• Experience coordinating litigation-related events, including trials, hearings, depositions, and mediations, preferred.
• Experience requesting, reviewing, and cross-referencing medical records.
• Working knowledge of medical terminology.
• Experience obtaining medical billing records and lien documentation.
• Strong attention to detail, organizational skills, and proactive deadline management.
• Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
• Excellent written and verbal communication skills.
• Occasional overtime and weekend availability may be required to support litigation department, and trial needs. Advance notice will be provided whenever possible.
