Verdantas is seeking a Full-time Administrative Coordinator for the San Diego Office(s). This is an excellent opportunity for an organized, customer-focused professional who enjoys supporting teams, coordinating activities, and creating a positive experience for both internal and external stakeholders. The successful candidate will be a trusted partner to our staff and help ensure the efficient operation of our growing San Diego offices.
What You'll Do:
- Oversee daily office operations, including maintaining supplies, managing correspondence, and ensuring a clean and organized workspace
- Serve as the primary point of contact for internal and external communications, including phone calls, emails, and visitor interactions
- Ensure efficient day-to-day operations, maintaining a well-organized and fully supplied office environment
- Manage fleet maintenance and logistics effectively
- Assist in coordinating resources (team members, equipment, materials) and formatting deliverables for projects
- Organize important documents, contracts, and project files
- Assist supervisors and Department leader in the onboarding process for new hires, including coordinating gifts, orientation lunch, workspace setup, introduction to office layout and colleagues, and a welcome announcement
- Manage the process of sending and receiving certified mail for important project-related documents. Track and document certified mail receipts for record-keeping purposes
- Prepare and edit documents, reports, and presentations
- Maintain accurate records and filing systems
- Assist with planning and execution of company events, meetings, and projects
- Deliver excellent customer service to clients, vendors, and employees, resolving inquiries promptly
What You'll Bring:
- High school diploma or equivalent required; additional business, administrative, or project coordination training is a plus
- One or more years of relevant administrative, office support, customer service, project coordination, or data-management experience
- Strong proficiency with Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint; ability to quickly learn tools such as Vision/Vantagepoint and other internal systems
- Excellent attention to detail, with the ability to maintain accurate records, track follow-ups, and ensure data quality
- Strong written and verbal communication skills with the ability to interact professionally with colleagues, leaders, clients, vendors, and external partners
- Strong organizational and time-management skills, including the ability to manage multiple priorities, meet deadlines, and maintain a high level of follow-through
- A collaborative, proactive, and customer-service-focused approach with a commitment to supporting team success
- Ability to handle sensitive information with discretion and maintain confidentiality at all times
Salary Range:
$26.00 - $30.00
