Job Description

The San Diego office is seeking a Legal Support Specialist to provide administrative and practice support to attorneys and other legal professionals across multiple practice areas. The Legal Support Specialist will work closely with attorneys, paralegals, and Legal Practice Coordinators to support the efficient delivery of legal services. The position requires the ability to perform client billable work as directed and appropriate.

Primary Responsibilities:

- Preparing, revising, formatting, proofreading, and quality checking legal documents, correspondence, reports, presentations, and other materials.
- Assisting with document production, including compiling, organizing, indexing, and maintaining documents in support of filings, transactions, witness interviews, depositions, and other legal matters.
- Preparing and organizing electronic and physical binders and confirming that materials are accurate, complete, and properly collated.
- Assisting with electronic filings and the preparation of forms, exhibits, briefs, and other legal documents under the direction of attorneys and paralegals.
- Creating hyperlinks and tables of contents and performing other document organization and quality control tasks.
- Maintaining organized electronic and physical matter files, including pleadings, exhibits, correspondence, and other case or transaction materials.
- Tracking and maintaining calendars and deadlines relating to filings, court dates, meetings, transactions, and compliance requirements, as applicable.
- Preparing expense reports, check requests, new business memoranda, engagement letters, and other administrative documentation.
- Coordinating mailings, deliveries, meeting materials, travel arrangements, interviews, meetings, and depositions.
- Entering and updating calendar items, editing prebills, and assisting with timekeeping and billing related records.
- Communicating professionally with attorneys, colleagues, clients, courts, and business partners.
- Performing other administrative, legal support, and client billable duties as assigned based on business and practice needs.

Qualifications:

- Bachelor’s degree required.

- One or more years of relevant administrative or legal support experience preferred. Prior experience supporting attorneys or paralegals in a law firm or other professional services environment is highly preferred.

- Strong proficiency in Microsoft Office, including Word, Outlook, Excel, and PowerPoint. Experience with document management, timekeeping, billing, and electronic filing systems is preferred.

- Excellent proofreading, formatting, written, and verbal communication skills.

- Exceptional attention to detail and a demonstrated ability to produce accurate, high quality work.

- Strong organizational and time management skills, with the ability to manage multiple assignments, establish priorities, meet deadlines, and adapt to changing demands in a fast paced environment.

- Professional, service oriented, and collaborative approach, with the ability to communicate effectively with attorneys, staff, clients, and outside contacts at all levels.

- Initiative, sound judgment, and the ability to work independently while seeking appropriate guidance when needed.

- Ability to handle confidential and sensitive information with appropriate discretion.

- Willingness and ability to learn and adapt to evolving technologies, systems, and procedures.

- Ability to perform client billable work accurately and efficiently under the direction of attorneys and paralegals.

- Ability to work the Firm’s required hybrid schedule and flexibility to work overtime as business needs require.
- California Notary Public commission and experience with legal citation checking are a plus.

The expected salary range for this position is $55,000 - $65,000.  Final compensation will be determined based on several factors, including but not limited to, relevant experience, qualifications, skill set, and geographic location.
