About this role

We're looking for a Risk Administrative Assistant to join our team! In this role, you'll support the Risk Department by coordinating claim intake, maintaining accurate documentation, and managing a variety of administrative responsibilities. You'll gather and organize accident, workers' compensation, equipment damage, and other claim information while ensuring documentation is complete, accurate, and routed to the appropriate team members. Youll work closely with claims examiners, paralegals, drivers, and cross-functional teams to keep information flowing smoothly and help the department operate efficiently.

Location: On-site at Golden Valley, MN
Hiring Range: $26.00 – $36.00 per hour

What You'll Do

- Handle incoming calls and claims inquiries related to motor vehicle accidents, workers' compensation, cargo, and equipment damage; gather information, prepare reports, and route matters to claims examiners.

- Monitor the claims inbox and ensure information is reviewed, documented, responded to, and routed appropriately.

- Enter, track, maintain, and upload claim and incident information in Origami/Risk Management Information Systems.

- Assist claims examiners and paralegals with claim files, documentation, investigations, and settlements.

- Gather and review accident documentation, including Samsara video, DVIRs, photos, police reports, and internal accident reports.

- Follow up with drivers and claimants regarding accidents, damaged equipment, and claim filings.

- Maintain equipment chain-of-custody documentation and update Auto Liability, Equipment Damage, and DOT reporting information.

- Prepare state forms, assist with workers' compensation return-to-work follow-up, and support Risk leadership with administrative and compliance tasks.

- Maintain electronic and hard-copy files, process incoming mail, and perform other duties and projects as assigned.

Knowledge and Skills to be Successful

- Strong administrative, organizational, data-entry, and attention-to-detail skills.

- Knowledge of claims administration, insurance, or risk management.

- Strong verbal and written communication skills.

- Ability to gather information, solve problems, exercise sound judgment, and manage competing priorities.

- Strong Microsoft Excel skills, including formulas, filtering, and data analysis.

- Proficiency with Microsoft Office and business software applications.

- Ability to maintain accurate records and handle confidential information.

- Ability to work independently and collaboratively in a fast-paced environment.

- Familiarity with Risk Management Information Systems preferred.

Qualifications

Required Education and Experience

- Associate degree from an accredited college.

- 1+ year of Administrative Assistant experience in an in-house claims department, third-party administrator, and/or insurance company.

- Strong Microsoft Excel skills, including formulas and data filtering.

- Experience with data entry, organization and analysis, Microsoft Office, business software, file management, calendars, scheduling, and travel arrangements.

- Strong verbal and written communication skills with proficiency in math, spelling, grammar, and punctuation.

Preferred Education and Experience

- 1-3 years of Administrative Assistant experience in a commercial transportation company's claims department, TPA, and/or insurance company.

- Bachelor's degree preferred.

- Transportation industry experience.

- Familiarity with Risk Management Information Systems.

- 50+ WPM electronic communication speed.

- Experience prioritizing multiple tasks and meeting deadlines.

About the Role

The salary grade for this position ranges from $54,700 – $75,400 per year . Starting pay within this range will be based on relevant experience, skills, and qualifications.
