Job Summary and Responsibilities

As our Executive Coordinator, you will be a vital administrative and operational force, providing comprehensive support to executive leadership and ensuring seamless daily and strategic execution.Every day, you will expertly manage complex calendars, coordinate meetings/events, prepare presentations, and handle sensitive communications. You'll facilitate information flow, assist project tracking, and meticulously organize travel/expenses, proactively optimizing executive efficiency.To be successful in this role, you will possess exceptional organizational skills, meticulous attention to detail, strong communication, and advanced software proficiency. Your proactive mindset, ability to manage multiple priorities, and discretion are paramount to executive effectiveness.

- Coordinate and schedule all appointments and maintain an updated calendar for the CAO and the team. Coordinate various meetings; including scheduling required conference rooms, online meetings and conference calls as well as printed materials, audio visual needs, food/refreshments if needed, and attendee support.

- Coordinate related schedule and execute all travel arrangements for the CAO and in the case of group travel for the group whether locally or domestically including expense reporting and reconciliation.

- Proactively coordinate and execute assigned project management tasks in support of the More In Common Alliance on behalf of the CAO and the team. This includes a broad range of activities across multiple Alliance work streams, as assigned.

- Take dictation, type, and transcribe various documents, as assigned. Independently create and prepare letters, agendas,reports, forms and other material in a timely manner, per request of the executives, as necessary.

- Receive and screen visitors. Answer, screen and place phone calls, providing assistance and solving problems when possible, or refer to others for appropriate action. Open, route and/or handle incoming mail of the executives, and email as necessary; prioritize incoming information for timely and appropriate action.

- Attend selected committees as assigned, to include Management Meetings, weekly Operations meetings as well as Hospital Policy & Procedures Committee; coordinate preparation of agendas and minutes for distribution.

Job Requirements

Required

- Minimum of seven years experience in clerical and technical support and

- High School GED from an accredited school or institution and minimum of four (4) years experience in customer service and/or product/project planning capacity and communications, or

- High School Graduate from an accredited school or institution and minimum of four (4) years experience in customer service and/or product/project planning capacity and communications, and

- Five years at the Executive Assistant Level

Preferred

- Bachelors Other or experience may be substituted for college

- Customer service oriented Healthcare experience
