Site Operations Coordinator- JLL

What this job involves:

As a Site Operations Coordinator at JLL, you'll provide essential administrative and operational support that keeps site management running smoothly and efficiently. This role positions you as a key facilitator between vendors, clients, and internal teams, ensuring seamless coordination of daily operations and maintaining the organizational backbone of site activities. You'll manage schedules, track performance metrics, and maintain the documentation that supports operational excellence across the facility. What your day-to-day will look like:

• Schedule and coordinate vendor activities, site inspections, and service appointments to ensure efficient facility operations

• Maintain accurate records of vendor interactions, service requests, and site activities using digital platforms and databases

• Prepare clear and concise reports on site operations and vendor performance for management review

• Respond promptly to routine inquiries from staff, vendors, and clients while maintaining professional communication standards

• Support the implementation of site procedures and protocols to ensure consistency in operational delivery

• Organize and maintain site documentation, operational manuals, and compliance records for easy accessibility

• Track and report on key performance indicators (KPIs) to support data-driven decision making and continuous improvement

Required qualifications:

• HS diploma or GED

• 1-2 years of experience in an administrative or operational support role demonstrating coordination and organizational capabilities

• Strong organizational skills with meticulous attention to detail and accuracy in documentation

• Proficiency in Microsoft Office suite, particularly Excel for data management and Outlook for communication and scheduling

• Excellent written and verbal communication skills with ability to interact professionally across all organizational levels

• Proven ability to prioritize competing tasks and manage time effectively in a dynamic environment

• Basic understanding of customer service principles and commitment to responsive stakeholder support

Preferred qualifications:

• Previous experience in a facilities management or property management environment

• Familiarity with vendor management concepts and coordination of third-party service providers

• Basic knowledge of building operations, maintenance practices, and workplace systems

• Experience with data entry and database management for operational tracking

• Understanding of health and safety practices and compliance requirements in workplace settings

• Exposure to scheduling and coordination software or computerized maintenance management systems (CMMS)

Schedule: M-F 8AM-5PM

Location : Chicago, IL

This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.

Expected compensation for this position:

50,300.00 – 68,000.00 USD per year

Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
