Order Management Specialist

Wentzville, MO Job Description The Order Management Specialist oversees the full order fulfillment process from quote to invoice, ensuring accurate order entry, timely deliveries, and exceptional customer service. This role works closely with sales and internal teams to confirm pricing, clarify customer requirements, and maintain accurate customer records while building strong, long-term relationships with customers. Responsibilities

- Collaborate with the sales team to confirm pricing and clarify customer requirements before order entry.
- Perform all phases of the order fulfillment process, including order entry, order confirmation, purchasing buy-to-order materials, creating picklists and jobs, and managing customer records.
- Enter customer orders accurately and ensure timely processing from initial quote through to final invoice.
- Monitor and follow up on customer orders to increase the percentage of on-time deliveries and communicate any changes promptly.
- Answer incoming phone calls and emails, qualify requests, and route them appropriately to ensure customers receive timely assistance.
- Assist customers with inquiries related to order status, stock availability, list pricing, tracking numbers, and other order-related information.
- Maintain written and electronic records of relevant customer correspondence for future reference and review.
- Develop and maintain friendly working relationships and positive rapport with customers to support repeat business and customer satisfaction.
- Monitor the progress of orders to ensure they follow the established schedule, coordinating with relevant employees to meet delivery timelines.
- Communicate proactively with internal stakeholders about order status, potential delays, and required actions to ensure on-time delivery.

Essential Skills

- Proven experience with order entry and order management processes.
- Strong data entry skills with a high level of accuracy and attention to detail.
- Proficiency with Microsoft Office, including Excel and Outlook.
- Basic computer skills, including the ability to work with spreadsheets and electronic records.
- Effective written and verbal communication skills for phone and email correspondence.
- Ability to provide administrative support in a fast-paced order fulfillment environment.
- Basic math and reading skills to interpret orders, pricing, and quantities.
- Ability to monitor and manage multiple orders simultaneously while maintaining accuracy.

Additional Skills & Qualifications

- High school diploma or bachelors degree in a related field.
- Familiarity with ERP systems; ERP knowledge is a plus but not required.
- Experience using Excel for tracking orders, updating records, or generating reports.
- Demonstrated ability to build positive relationships with customers and internal teams.
- Strong organizational skills and the ability to prioritize tasks in a growing organization.
- Comfort working with list pricing, stock status, and tracking information.

Work Environment This role operates in a professional office environment with standard business hours, Monday through Friday, 8:00 a.m. to 5:00 p.m. The position relies heavily on computer-based work, including the use of Microsoft Office applications and other business systems for order entry and record management. This is a Contract to Hire position based out of Wentzville, MO.
Pay and Benefits
The pay range for this position is $20.00 - $22.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
