Job Description:
The Policy Typist position is responsible for accurately preparing title insurance documents, including policies, endorsements, and commitments, based on instructions from the escrow department and advisory staff. The primary duty is to type and process these documents using proprietary software, ensuring accuracy and adherence to legal and procedural standards. Additionally, the role involves preparing the Preliminary Report for title insurance issuance, with a focus on maintaining confidentiality and precision in all documentation.
*THIS IS AN IN-OFFICE POSITION MONDAY-FRIDAY 8:30AM - 5:00PM EASTERN LOCATED IN OUR NAPLES, FL OFFICE.*
Essential Duties and Responsibilities:
- Transcribe and type property title documents from various sources (e.g., handwritten drafts,)
- Prepare, format, and proofread title reports, deeds, legal descriptions, and related documents, ensuring accuracy in grammar, spelling, and formatting.
- Maintain and update databases and organize both physical and digital filing systems.
- Handle sensitive information confidentially and in accordance with data privacy regulations.
- Assist with administrative tasks, such as drafting correspondence and responding to information requests.
- Communicate with title agents, underwriters, and team members to clarify discrepancies or missing information.
- Ensure all documents are processed in compliance with industry regulations and company standards.
- Complies with Company policies, procedures, regulatory requirements and completes mandatory company compliance training by prescribed deadlines.
- At a minimum, the ability to work your scheduled work hours, Monday through Friday.
- Ability to work overtime as requested by management.
- Dependable, reliable and punctual attendance is required, which may include in-office attendance or attendance at company, industry or other events that occur outside regular business hours.
- Ability to accept supervision and direction, as well as constructive feedback.
- Ability to collaborate and interact effectively and professionally with all levels of management, employees and customers by email, phone, video conferences and in person.
- Demonstrates courtesy, flexibility, professionalism and is proactive and responsive to supervisor/manager, co-workers and customer needs and expectations.
- Other duties that may be assigned.
Knowledge and Skills Required:
- Excellent interpersonal skills developing relationships with advisory staff, together with superior written and verbal communications skills.
- Ability to operate effectively under extreme time constraints and produce accurate policies of title insurance and preliminary reports.
- Ability to follow handwritten and typed instructions from the examination team, escrow dept and advisory staff.
- Working knowledge of the different forms of title insurance policies and endorsements and the uses thereof.
- Overtime may be required as needed.
- Type a minimum of fifty (50) words per minute.
- Typing skills to ensure a significant accuracy rate under requirements.
- Proven experience as a typist, data entry clerk, or in a similar role.
- Excellent attention to detail and ability to spot errors.
- Ability to read and understand Closing Disclosure (CD) and Settlement Statements.
- Basic computer skills including proficiency in Microsoft Office Suite and Outlook.
- Experience with or ability to learn RamQuest, Resware, and/or Qualia software.
- Ability to work in fast paced environment while successfully performing under extreme time constraints and meets prescribed deadlines.
- Strong attention to detail with excellent organizational skills, with ability to prioritize and handle multiple tasks and projects.
- Ability to act independently with sound judgment and take initiative.
- Written and verbal communications are clear, grammatically correct and business appropriate.
