Join Brown Sims' Houston office as a Communications Assistant . This position provides administrative, clerical, and document support to attorneys, secretaries, and other personnel throughout the firm. The ideal candidate is highly organized, detail-oriented, and able to manage multiple responsibilities in a fast-paced legal environment.
How Will You Make a Difference?
- Read, scan, document, and route incoming mail.
- Prepare outgoing mail, including mailing labels, Certified Mail Return Receipt Requested (CMRRR), messenger requests, and overnight courier forms.
- Coordinate the completion of photocopy, fax, and messenger requests.
- Draft and prepare legal and non-legal documents, including pleadings, summonses, complaints, motions, subpoenas, and general correspondence.
- Perform clerical duties such as scheduling hearings and appointments, answering telephones, and providing information to callers as directed.
- Maintain client files and ensure files remain current and properly stored.
- Transcribe, compose, and type routine correspondence.
- Open and close client files.
- File client documents and correspondence.
- Maintain attorney reading files.
- Pick up files from attorney offices and distribute materials as needed.
- Circulate hard copy mail to attorneys.
- Input attorney time.
- Type memoranda, correspondence, and other documents as backup support to secretaries.
- Transcribe dictation.
- Assist with special projects as assigned.
What Will You Bring to the Table?
- High school diploma or General Education Degree (GED).
- Ability to read and comprehend simple to complex instructions, short correspondence, and memoranda.
- Ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Ability to type a minimum of 40 words per minute utilizing current word processing software.
- Ability to use transcription, photocopy, fax, and other office equipment to complete documents efficiently.
- Ability to establish and maintain cordial and courteous working relationships with firm employees and outside contacts.
- Ability to work effectively in a fast-paced and demanding environment.
