Junior Client Questionnaire Project Coordinator

The Junior Client Questionnaire Project Coordinator supports the production and delivery of high-quality Due Diligence Questionnaires (DDQs), for clients. Working as part of the Global RFP Team, the role coordinates submissions from initial review through final delivery, using approved content and partnering with Subject Matter Experts (SMEs) and Client-Facing Teams (CFTs) to obtain accurate, client-specific information.

The position requires strong organisational/project management skills, attention to detail, and the ability to manage multiple deadlines in a fast-paced, global environment. The role also supports the maintenance of the standard content library and the effective use and administration of proposal technology platforms including Qvidian, Monday.com, and Seismic.

1. DDQ Production Support

- Perform initial reviews of incoming requests to determine level of effort and identify firm-specific requirements.
- Coordinate assigned submissions from receipt through final delivery, maintaining timelines and quality standards.
- Coordinate kick-off calls between Sales or Client-Facing Teams and Subject Matter Experts.
- Draft and populate responses using the standard content library, tailoring approved language to client requirements.
- Facilitate internal review and approval processes.
- Ensure final deliverables are professionally formatted, polished and client-ready.

2. Stakeholder Coordination

- Liaise with product and functional SMEs to obtain reviews, clarifications and additional content
- Partner with Client-Facing Teams to identify and incorporate relevant client-specific insights.
- Track outstanding inputs, communicate status and escalate risks to the project lead.
- Support clear hand-offs across global teams when submissions involve multiple regions or time zones.

3. Content Quality and Library Maintenance

- Proofread and copy-edit responses for accuracy, consistency, grammar, tone and presentation.
- Contribute to the ongoing maintenance and enhancement of the standard content library.
- Identify outdated, duplicated or missing content and refer required updates to the appropriate owner.
- Apply team standards and approved messaging consistently across submissions.

4. Technology Platform Support

- Support SMEs and Client-Facing Teams with onboarding and day-to-day use of Qvidian
- Assist with technology upgrades and enhancements across Qvidian, Monday.com and Seismic.
- Support user administration, including licence management, user maintenance and licence reconciliation in Qvidian.
- Develop strong platform knowledge and provide first-line guidance, escalating complex technical issues as appropriate.

5. Special Projects and Team Support

- Participate in team projects and business initiatives aimed at improving processes or workflows
- Support ad hoc requests from colleagues and contribute to shared team priorities
- Complete assigned administrative and reporting activities accurately and on time.

Technical Capabilities

- Strong project management and organisational skills
- Proficiency with Microsoft Office applications
- Native-level English proficiency
- Excellent proofreading and copy-editing abilities
- Excellent collaboration, communication and relationship-building skills
- Ability to manage multiple proposals simultaneously while maintaining accuracy and attention to detail
- Ability to thrive in a fast-paced environment with tight deadlines
- Experience with databases; familiarity with Monday.com or Seismic is beneficial
