About this role
To coordinate the planning, delivery, and monitoring of Human Appeal USA's domestic community programs, with lead responsibility for Zakat and financial assistance casework. The role serves as a hands-on program coordinator across the full Domestic Programs portfolio — including seasonal campaigns, masjid partnerships, community events, and volunteer deployments — while ensuring that all Zakat-funded activity is compliant, well-documented, and delivered with dignity. This is a full-time, work-from-office position that requires regular visits to masjids and partner sites, in-person program coordination, and flexibility to work evenings and weekends when programs, campaigns, or community events require it.
Lead Zakat and Financial Assistance Casework: Manage the end-to-end Zakat and financial assistance process: application intake, eligibility screening, verification and due diligence, case review, disbursement, and follow-up — in line with Human Appeal's Zakat policy and partner agreements. Ensure Zakat Compliance and Documentation: Maintain accurate case records, cross-partner logs, and audit-ready documentation. Ensure every disbursement is eligible, approved, and reconciled with Finance. Coordinate Program Activities: Support the planning, execution, and monitoring of domestic program initiatives (seasonal campaigns, food programs, coat drives, Eid programs, mental health and youth initiatives, and others) under the direction of the Head of Domestic Programs. Facilitate Masjid and Partner Engagement: Conduct regular in-person visits to masajid, community organizations, and partner sites. Manage scheduling, outreach, follow-ups, and ongoing coordination with local partners and stakeholders. Support Event and Logistics Management: Organize logistics for community events, distributions, trainings, volunteer deployments, and site visits, both virtual and in-person, including on-site presence during delivery. Coordinate Volunteers: Recruit, brief, and coordinate volunteers for program delivery in the assigned portfolio, ensuring safeguarding and branding standards are followed. Maintain Program Documentation: Ensure accurate, organized documentation of program plans, reports, SOPs, budgets, and partner records. Assist with Budget Tracking: Monitor spending against budget lines and restricted funds, assist with expense tracking, and prepare summaries for reporting and compliance. Contribute to Storytelling and Reporting: Draft program summaries, case stories (with appropriate consent and anonymization), impact highlights, and decks for donors, partners, and internal use. Conduct Research and Landscape Scanning: Research best practices, partner organizations, public and community resources, and relevant community needs to inform program design and to connect applicants to non-Zakat support where appropriate. Collaborate Across Departments: Work with Finance, Communications, Fundraising, and International Programs teams to align messaging, funding eligibility, resources, and reporting. Ensure Compliance with Organizational Standards: Follow internal procedures, safeguarding protocols, data protection, and branding guidelines in all program and casework activities. Proactively Identify Operational Improvements: Recommend tools, templates, or workflows that streamline casework and coordination and enhance impact delivery. NB: Employee duties are not limited only to the above-mentioned Accountabilities; he/she may perform other duties as assigned.
Qualifications
Education • College Degree Experience • 2+ years of directly related work experience in program coordination, casework, social services, or community-based nonprofit work • Working knowledge of Zakat principles and eligibility; experience with financial assistance or benefits casework strongly preferred • Experience working with masajid or Muslim community organizations is highly preferred Computer Skills • Productivity tools (e.g., Microsoft 365, Canva, Asana, Generative AI) • Case management / CRM or database tools Languages • Fluent written and spoken English is essential. Additional languages such as Arabic, Turkish, Urdu, are strongly preferred Other • Valid driver's license and willingness to travel locally to offices and partner sites • Ability and willingness to work evenings and weekends as required • High standards of confidentiality, discretion, and cultural sensitivity when handling applicant information
