Position Summary
The Office Coordinator is responsible for maintaining a clean, organized, professional, and fully operational workplace environment that supports employees, visitors, and daily business operations. This role oversees office facilities, inventory management, vendor coordination, workplace readiness, and administrative support functions.
The Office Coordinator serves as the primary point of contact for office-related needs and is responsible for ensuring common areas, conference rooms, breakrooms, restrooms, and supply areas remain stocked, organized, and presentable. This position requires a proactive individual with strong organizational skills, attention to detail, and the ability to independently manage workplace operations while providing exceptional internal customer service.
This is a full-time seasonal position designed to support increased operational, onboarding, and workplace demands during peak business periods.
Requirements
Essential Duties & Responsibilities
- Maintain the cleanliness, organization, and professional appearance of the office, lobby, conference rooms, breakrooms, restrooms, and common areas.
- Conduct routine facility inspections to ensure office spaces are clean, stocked, organized, and operational.
- Manage inventory and ordering of office, kitchen, restroom, and cleaning supplies; receive, organize, and distribute deliveries and inventory.
- Coordinate vendors, service providers, maintenance requests, repairs, and office equipment servicing; serve as the primary contact for facility-related vendors and deliveries.
- Handle incoming mail, packages, and deliveries, ensuring timely distribution.
- Maintain employee applications, recruiting materials, and lobby presentation to ensure a professional and welcoming environment.
- Support office meetings, events, and employee functions by preparing and stocking meeting spaces as needed.
- Assist HR and other departments with administrative tasks, special projects, and day-to-day operational support.
- Respond to employee workplace needs, resolve routine facility and office issues, and identify opportunities to improve office organization, efficiency, and employee experience.
- Perform other duties as assigned in support of efficient office operations.
Required Qualifications
- High school diploma or equivalent.
- Two (2) years of experience in facilities coordination, office administration, workplace operations, hospitality, property management, or a related field.
- Strong organizational, communication, and customer service skills.
- Experience managing inventory, supplies, vendors, and office operations.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Fluency in both English and Spanish, with the ability to communicate effectively verbally and in writing.
- Ability to work onsite full-time in Sterling, VA.
- Ability to work independently, manage multiple priorities, and solve problems in a fast-paced environment.
- Strong attention to detail, professionalism, and ability to maintain confidentiality.
- Ability to lift and move office supplies and inventory up to 30 pounds.
- Must be legally authorized to work in the United States without current or future sponsorship.
- Ability to commit to the full seasonal assignment period.
Preferred Qualifications
- Experience supporting construction, utility, engineering, or field-based organizations.
- Experience in facilities management, workplace services, hospitality, or property management.
- Knowledge of vendor management, purchasing, and invoice processing.
