About us:

The Department of Mechanical & Industrial Engineering is home to about 60 professors leading research on a very broad range of topics. On the Industrial Engineering side, research areas include Operations Research, Information Engineering, Human Factors, and Applied Machine Learning, all of which seek to improve the systems we as humans rely on to navigate our world. On the Mechanical Engineering side, research areas include Robotics, Mechanics & Design, Materials, and Thermofluids, topics that are applied to applications including manufacturing, energy production, and bioengineering.

We are also home to about 2,000 very talented students: about 1,300 undergraduates are enrolled in the Industrial Engineering and in the Mechanical Engineering BASc programs. We have about 350 Master of Engineering (MEng) students, a professional program for students taking courses with us for a year or two. And we have about 350 MASc and PhD students, who work individually on research projects with a particular professor.

Your opportunity:

Reporting to the Undergraduate Administrator, the Undergraduate Student Advisor is responsible for ensuring that MIE 3rd and 4th year undergraduate students receive accurate, timely and responsive advising on academic matters. The incumbent will process petitions and appeals, meet with students to understand their concerns, and provide advice on the best course of action. The incumbent will liaise with Professors and various university offices regarding students’ concerns, and will provide advice, support, and appropriate referrals to students as well as comprehensive student-centeredadvising, supporting students in matters ranging from routine inquiries to complex multi-faced cases.

The incumbent will provide input on and contribute to program and project improvements in the Undergraduate Office, to ensure students’ academic success and a responsive and positive environment for our students and faculty.

Your responsibilities will include:

- Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual's background

- Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines

- Advising on the appropriateness, precedents and process for petitions and appeals, and suggesting alternative course of action as necessary

- Reviewing and assessing petitions for special consideration

- Preparing and disseminating course timetables

- Keeping well-informed on changes to courses, program requirements, policies and procedures

- Handling sensitive and/or confidential information. Following rules and procedural processes related to Freedom of Information and Protection of Privacy Act (FIPPA)

- Making informed referrals and supporting an individual in distress until referral contact is made

Essential Qualifications:

- Bachelor's Degree or acceptable combination of equivalent experience.

- Minimum four years of relevant experience advising students on academic matters in a post secondary environment.

- Experience providing basic support to distressed students including but not limited to connecting them to resources and support.

- Intermediate knowledge of and experience working with and processing data in ROSI and Degree Explorer or equivalent systems.

- Demonstrated experience working with and applying academic policies and procedures.

- Relevant experience coordinating and supporting students through the academic petition and appeals processes while also having relevant experience assessing student petitions.

- Experience coordinating and preparing course timetables.

- Ability to manage multiple priorities, and ability to meet deadlines and time constraints with high attention to detail and accuracy.

- Superior ability to work collaboratively with faculty members and students with effective judgment and strong account ability.

- Excellent organizational, time and project management skills with the proven ability to take initiative and be proactive.

- Demonstrated commitment to equity, diversity, inclusion and the promotions of a respectful and collegial learning and working environment.

- A strong customer service orientation, with effective interpersonal, problem-solving and persuasive skills to deal with students, staff, and faculty with professionalism, diplomacy, and tact.

- Strong communication skills (both verbal and written) and ability to communicate effectively with a diverse group of clients.

- Demonstrated ability to create and sustain a welcoming environment for all members of the diverse community of students, staff, and faculty.

- Advanced Microsoft office including Excel, Word, PowerPoint, Outlook or equivalent systems.

USW Pay Band 12 -- $84,564 with an annual step progression to a maximum of $108,145. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
