About this role

Job Summary: MidAmerica Nazarene University in Olathe, Kansas, is seeking an Administrative Assistant to support the Department of Natural, Health, and Mathematical Sciences. This is a full-time, 10-month staff position with an additional five hours per week during the summer months. The Administrative Assistant provides day-to-day support to the Department Chair and faculty.

Position Description:

- Provides day-to-day administrative and clerical support to the Department Chair and faculty within the Department of Natural, Health, and Mathematical Sciences.

- Serves as the first point of contact for the department, greeting visitors, answering phones, and responding to inquiries from students, faculty, and the public.

- Manages the Department Chair's calendar, schedules meetings, and coordinates department events, exam schedules, and room reservations.

- Prepares, formats, and proofreads correspondence, syllabi, reports, forms, and other departmental documents.

- Assists with the preparation and monitoring of the department budget, processes purchase orders, reimbursements, and departmental expense reports.

- Maintains accurate department records, including faculty files, course schedules, student records, and adjunct faculty documentation.

- Supports the hiring and onboarding process for adjunct faculty, including collecting credentialing paperwork.

- Assists with textbook orders, lab supply ordering, and coordination with campus facilities and IT for classroom and lab needs.

- Coordinates communication between the department and other university offices, including the Registrar, Academic Affairs, and Admissions.

- Supports departmental recruiting and student engagement events.

- Performs other administrative duties as assigned by the Department Chair

Qualifications

Qualifications:

- Associate degree required; bachelors degree preferred, or equivalent combination of education and relevant administrative experience.

- Prior office or administrative support experience, preferably in a higher education or academic setting.

- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and willingness to learn university-specific software systems.

- Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain confidentiality.

- Excellent verbal and written communication skills, and a professional, welcoming demeanor.

- Ability to work collaboratively with faculty, staff, and students across the department and institution.

- Attention to detail and strong follow-through on tasks and projects.
