General Summary
The Temporary Student Services Assistant IV provides short-term operational support to the Office of the University Registrar (OUR) by assisting with high-volume records services, transcript processing, student record updates, and customer service functions. This role helps maintain accurate student information, supports routine records administration, and ensures timely completion of essential registrar services.
The position works closely with members of the Academic Records and Operations team and supports students, alumni, faculty, staff, and external organizations through records-related transactions and inquiries. The position contributes to the accuracy, integrity, and confidentiality of student records while helping maintain daily office operations. This is a full-time, three-month temporary position with the possibility of extension depending on the needs of the office.
Assignment Deliverables
● Process daily transcript requests to ensure timely and accurate fulfillment.
● Validate and review weekly diploma orders for accuracy and completeness prior to submission.
● Process campus community updates within the student information system, including name changes, date of birth corrections, SSN updates, and related academic record maintenance.
● Support Club Sports eligibility and enrollment verification processes.
● Review and process general forms, certifications, and supporting documentation in accordance with university policies and procedures.
● Monitor and respond to Office of the University Registrar inquiries received via email and phone.
● Assist with replacement ID card requests.
● Provide notary services for academic and enrollment-related documents, if licensed as a Notary Public.
● Protect the confidentiality and security of student records in accordance with FERPA and university policies.
● Collaborate with campus partners to resolve routine student records issues.
Required Qualifications
● Demonstrated experience in administrative support, customer service, records management, or higher education operations.
● Strong attention to detail and commitment to data accuracy.
● Excellent written and verbal communication skills.
● Experience managing high-volume email or service ticket inquiries.
● Proficiency in Microsoft Outlook, Excel, Word, and Teams.
● Ability to learn student information systems and administrative software.
● Strong organizational skills and ability to manage multiple priorities.
● Experience handling confidential information with discretion.
● Ability to work independently and collaboratively in a fast-paced environment.
Preferred Qualifications
● Previous registrar, student services, or higher education experience.
● Experience processing transcripts, certifications, and academic records requests.
● Familiarity with PeopleSoft or similar student information systems.
● Active New York State Notary Public license.
● Knowledge of FERPA and student records privacy requirements.
This is a full-time (39 hours per week), three-month temporary position based in Ithaca, NY, with the potential for extension depending on the needs of the office. The position is fully on-site and offers an hourly rate of $26.00 to $28.00 , commensurate with education and experience. Regular work hours are 8:00 a.m. to 4:30 p.m., Monday through Friday. This position is not benefits eligible.
