About this role

General Summary

The Temporary Student Services Assistant V provides support for specialized academic records functions within the Office of the University Registrar (OUR). This role focuses on student record review, duplicate record resolution, compliance-related records requests, and operational support for diploma services.

The position assists with complex records maintenance activities requiring careful review, analysis, documentation management, and adherence to federal regulations, institutional policies and privacy requirements. This role works closely with the University Registrar, Deputy University Registrar and the Academic Records and Operations staff and campus partners to ensure the integrity of university records and support regulatory compliance obligations. This is a full-time, six-month temporary position with the possibility of extension depending on the needs of the office.

Assignment Deliverables

●      Support FERPA inspect-and-review requests by collecting, organizing, reviewing, and preparing student records for disclosure.

- May assist with identifying and applying record redactions where required under FERPA, etc.

●      Review and process duplicate identity and duplicate student record resolution cases, ensuring accurate consolidation and documentation.

●      Provide backup support for diploma order validation and diploma-related service requests.

●      Monitor and respond to Office of the University Registrar emails.  Provide customer service phone support for the Office of the University Registrar.

●      Provide notary services for academic and enrollment-related documentation, if licensed as a Notary Public.

●      Maintain documentation and audit trails.

●      Work collaboratively with registrar offices and campus partners to resolve records-related issues.

●      Maintain strict confidentiality and security of sensitive student information.

●      Perform general administrative and operational support duties as needed.

Required Qualifications

●      Demonstrated experience in records management, administrative support, compliance support, higher education operations, or related fields.

●      Strong analytical skills and attention to detail when reviewing records and documentation.

●      Experience managing confidential information and sensitive records.

●      Excellent organizational, written, and verbal communication skills.

●      Ability to interpret and follow established policies, procedures, and documentation standards.

●      Experience working with service management systems, shared email environments, or high-volume customer inquiries.

●      Proficiency with Microsoft Office applications, including Outlook, Excel, Word, and Teams.

●      Ability to manage multiple priorities and meet deadlines independently.

●      Strong problem-solving and judgment skills.

Preferred Qualifications

●      Previous experience in a registrar's office, student services, compliance, or records management environment.

●      Experience supporting FERPA inspect-and-review requests or records disclosure processes.

●      Experience resolving duplicate student records or performing data quality review activities.

●      Familiarity with academic records systems such as PeopleSoft.

●      Active New York State Notary Public license.

●      Knowledge of FERPA, student records privacy requirements, and records retention practices.

This is a full-time (39 hours per week), six-month temporary position based in Ithaca, NY, with the potential for extension depending on the needs of the office. The position is fully on-site and offers an hourly rate of $29.45 to $31.66 , commensurate with education and experience. Regular work hours are 8:00 a.m. to 4:30 p.m., Monday through Friday. This position is benefits eligible.
