The Associate Director of Development Operations manages the operational, technical, and data infrastructure that supports the Foundation’s fundraising programs. This role oversees the donor database, leads reporting and analytics, manages system integrations, and ensures the accuracy, integrity, and usability of all development data.

The Associate Director serves as the primary liaison to Information Services, and acts as the operational project manager for system enhancements and workflow improvements. This position supervises the Gift Processor and reports to the Director of Development Operations.

Key Responsibilities

Database & Systems Management

- Manage daily operations of all Blackbaud products, including configuration, data integrity, user permissions, and documentation.
- Serve as the primary liaison with IT for system integrations, troubleshooting, and technology needs.
- Oversee data imports, exports, global updates, and routine system maintenance.
- Support implementation of new software tools, integrations, and system enhancements in collaboration with vendors and internal stakeholders.

Reporting & Analytics

- Develop and maintain reports, dashboards, and queries to support fundraising, stewardship, and communications.
- Produce mailing lists, segmentation files, and data extracts for appeals, newsletters, and events.
- Analyze donor trends, giving patterns, and campaign performance to inform strategic planning.
- Validate data and reporting outputs to ensure accuracy and consistency across the organization.

Operational Support

- Enforce data governance policies and ensure adherence to data standards across all development teams.
- Lead operational workflow related to gift processing, acknowledgements, campaign coding and data hygiene cycles.
- Support reconciliation processes with Finance by preparing reports and validating data.
- Assist with event registrations & post-event reporting as needed.
- Conduct regular data audits and quality control checks.
- Provide on-site registration set up and technical support for signature events, including Light Up the Night and Dancing in the Woods.

Training & Documentation

- Develop and deliver training for development staff on CRM usage, data standards, and reporting tools.
- Maintain comprehensive documentation of procedures, workflows, and system configurations.
- Serve as first point of escalation for database and reporting questions.

Supervision

- Directly supervise the Gift Processor, ensuring timely and accurate gift entry, gift documentation, acknowledgments, and record maintenance.
- Provide coaching, workflow oversight, and quality control for gift processing operations.
- Support professional development and performance management for the Gift Processor.

Qualifications

- Bachelor’s degree required.
- 4–6+ years of experience in development operations, database administration, or nonprofit data management.
- Proficiency with donor CRM systems (Raiser’s Edge, or similar).
- Strong analytical, technical, and problem‑solving skills.
- Experience with reporting tools, data segmentation, and mailing production.
- Ability to manage multiple priorities and maintain high accuracy.
