Manufacturing Production Assistant

The Production Assistant reports to the VP of Manufacturing and supports the Plant Managers in the administrative, operational, and documentation functions required to ensure efficient production operations. This role is responsible for maintaining accurate production data, supporting labor tracking and payroll accuracy, administering work order processing, maintaining manufacturing document control systems, and coordinating workforce programs such as DORA apprenticeship compliance, shop floor On-the-Job Training (OJT), and skill level advancement programs. The Production Assistant serves as a liaison between production, payroll, HR, staffing agencies, and regulatory bodies to ensure operational continuity, workforce compliance, and data integrity across Production activities.
  Role Responsibilities
Production Administration & Support:

- Administer and maintain production information throughout the facility, i.e., performance metrics.
- Process work orders (create, open, print, distribute, close, and archive) for Production activities.

Labor Tracking & Payroll Support:

- Support reconciliation of labor variances and reporting discrepancies.
- Maintain and track shop floor team members' attendance records.
- Process labor hours report for staffing company personnel.
- Support and maintain employee records in IFS
- Ensuring newly hired employees are assigned to their positions
- Timely termination of employees from IFS
- Adding/terminating temporary employees in IFS
- Providing administrative support to help ensure workforce information and employee records in IFS remain accurate, complete and current.

- Identifying and communicate timekeeping, attendance, or employee-record discrepancies to the appropriate supervisor.

Document Control & Data Management:

- Establish and maintain Manufacturing document control systems.
- Maintain skill level and training matrices.
- Maintain job performance reviews and skill level I – III advancements.

Apprenticeship & Regulatory Coordination:

- Manage communication and maintain compliance documentation for the Department of Regulatory Agencies (DORA) apprenticeship program.
- Track apprenticeship hours and reporting deadlines.
- Serve as liaison between RK Mission Critical, apprentices, supervisors, and regulatory agencies.

Shop Floor Support & Coordination:

- Assist supervisors and managers with administrative training requirements and certifications.
- Assist in coordinating in-house events, training sessions, and departmental meetings.
- Support onboarding documentation for new shop floor team members.

Other Duties:

- Execute production priorities as directed by the VP of Manufacturing.
- Other duties as assigned to support Manufacturing operations and organizational growth.

Qualifications
- High school diploma or equivalent required; Associate degree preferred.
- 2+ years of experience in a manufacturing or production administrative role preferred.
- Experience working in an ERP or manufacturing system environment.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Strong organizational skills and attention to detail.
- Ability to handle confidential information with discretion.

Work Environment:

The Production Assistant will regularly work in both an office and shop floor environment and must be able to meet the physical demands of such an environment, including standing, walking, and occasional lifting. The role requires consistent on-site presence to effectively support production leadership.
