Purpose of Role

Within this context, Castor Vali is a fast-moving organisation with a broad range of customers across many geographies, industries and sizes. To support the sales team (BDMs) and the service lines, we require a Sales Support Coordinator to help with day-to-day administrative duties as well as structured engagements with our customers.

Key Responsibilities

- Manage the renewal of customer contracts for subscription services, ensuring key dates and actions are tracked and followed up.

- Prepare Letters of Engagement (LoEs) for new and existing customers.

- Prepare commercial quotations for customers and prospects, working with the relevant teams to ensure pricing and requirements are accurate.

- Coordinate and assemble customer and prospect proposals for new opportunities using Salesforce and PandaDoc.

- Create and update customer and prospect pitch decks and other sales materials in PowerPoint.

- Triage incoming enquiries, including requests for trials, demos and further information, and ensure they are directed to the appropriate BDR or BDM.

- Set up and maintain new customer accounts in Salesforce, ensuring information is complete and accurate.

- Generate Salesforce reports on sales activities, performance, results and other agreed metrics to support the Business Development team.

- Track tenders and formal procurement processes, coordinating information and supporting the team to meet submission deadlines.

- Research target customers and prospects to support business development outreach, proposals and account planning.

- Provide occasional customer-facing support to Account Managers, including coordination of communications and follow-up actions.

- Maintain a high level of customer data integrity and cleanliness across Salesforce and other relevant systems.

- Follow agreed sales processes and contribute to improvements in sales administration, CRM processes and ways of working.

- Support the wider Business Development and Marketing teams with events, campaigns, customer engagement activities and other sales initiatives as required.

Qualifications and Experience

- Significant experience in sales support and/or sales admin roles

- Experience in customer-facing roles would be advantageous

- Must have experience with quotes, proposals and pitches

- Expert-level knowledge of Microsoft Office Suite

- Strong organisational ability and experience of juggling multiple tasks

- Experience with systems like CRMs, preferably Salesforce

- Ability to work with multiple departments and people across the business

- Previous experience in the security sector and/or with businesses based in Africa would be advantageous but not essential
