About this role

Position Summary

The Property Operations Coordinator is responsible for coordinating, scheduling, and providing hands-on assistance with property acquisitions and dispositions, including assisting with due diligence reviews, maintaining overall schedule timelines, website and technical systems set-up and training support, onboarding of new properties, and the overall coordination of processes for incoming and outgoing properties. In addition, this position oversees portfolio-wide document management processes, assists with outreach marketing efforts for lease-up properties, and provides operational analysis and reports for the Companys portfolio of properties.

Essential Job Functions

- Maintains an overall schedule timeline for all properties, including onboarding schedules for new acquisitions and offboarding schedules for property dispositions

- Coordinates and schedules employee support for the onboarding of new properties

- Assists with operational due diligence reviews, including the examination of leases, resident files, vendor contracts, compliance records, and property operating procedures

- Serves as the point of contact for Company leadership onboarding teams during a new property onboarding process

- Oversees document management of the Companys overall portfolio of properties, including the standardization of property forms, processes, and procedures for day-to-day operations

- Prepares and maintains portfolio performance reports, onboarding metrics, and operational analyses for leadership review

- Assists the marketing team with website set-ups for new properties

- Works with the accounting team to ensure all property information is loaded timely into Yardi

- Provides training support for new team members during the onboarding process for new properties

- Assists with and supports lease-up properties, including assisting with outreach marketing efforts when needed

- Prepares periodic reports and updates for company leadership on a regular basis

- Assumes additional responsibilities and performs special projects as required

Required Qualifications

Education, Training and or/ Experience

Associates degree in business or similar field with three plus years of property management and coordination experience, or equivalent combination of education and experience. Bachelors degree and experience in residential and commercial property management is a plus.

Knowledge, Skills, and Personal Characteristics

- Excellent verbal and written communication skills with an ability to communicates easily with all levels of employees, tenants, and customers

- Strong knowledge and understanding of property management

- Advanced proficiency with residential property management technology programs such as Yardi and Microsoft Office products, including Excel

- Ability to organize work, engage in a variety of tasks simultaneously, and meet established deadlines

- Strong attention to detail

- Displays a positive, friendly and professional attitude with a strong focus on customer service

Physical Demands

The nature of work requires an ability to communicate and exchange information, prepare work documents, and operate standard business office equipment. Requires the ability to lift and move materials or equipment up to 20 pounds. May require travel to properties for due diligence reviews, onboarding activities, training support, and transition meetings.

Working Conditions

Work is performed in a general office environment and apartment community. Weekend work and some evening work may be required during peak seasons.
