Lactalis US Yogurt, part of the Lactalis family of companies, is currently hiring an Office Coordinator. This position is based in Bedford, NH.

The Office Coordinator serves as the face and voice of the organization - acting as the primary point of contact for employees, visitors, and external partners. This position oversees front desk operations, manages general office administration, and assists with office coordination and employee events. Additionally, the Office Coordinator collaborates closely with the HR and Internal Communications teams to ensure daily operations align with company goals and values. This position reports to the Employee Services Manager.

From your EXPERTISE to ours

Key responsibilities for this position include:

- Greet and register visitors using the iLobby system at our corporate office in Bedford, NH, and serve as the first point of contact for guests and employees.
- Manage incoming and outgoing mail, packages, and intercompany correspondence, ensuring timely distribution.
- Oversee employee lists, seating charts, name tags, and the employee badge access process for the Bedford office.
- Maintain kitchen and breakroom operations that may include but not limited to beverage equipment, supply replenishment, dishwasher management, refrigerators, and food delivery coordination. Order/stock yogurt and coordinate transportation.
- Ensure conference rooms and other shared areas are organized, and dry erase boards are cleaned.
- Assist/coordinate office communications, including bulletin boards, communication TVs, and announcements for company-sponsored events and activities.
- Provide administrative support through SAP, including vendor setup, purchase orders, goods receipts, reconciliations, invoice tracking, and identifying cost-saving opportunities.
- Order and maintain office, kitchen, and shipping supplies; coordinate meetings, training sessions, conference room reservations, and catering arrangements.
- Assist/coordinate office events, employee engagement activities, product displays, holiday décor, recognition programs, and the distribution of complimentary sporting event tickets.
- Work with building management by coordinating vendor visits, maintenance requests, additional cleaning needs, and building-related issues through resolution.
- Support workplace safety and emergency preparedness initiatives, including evacuation procedures.
- Provide HR administrative support, including welcoming new hires, employee recognition programs, service awards, and coordination of employee gifts and acknowledgments.
- Administrative assistance to upper management upon request and perform other duties as assigned.

WORK CONDITIONS

- Travel may be required occasionally between our Bedford and Londonderry locations.
- Extended hours may be necessary depending on the project needs.
- To fulfill these responsibilities, tools such as a computer will be provided.

PHYSICAL DEMANDS

- While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard. This is largely a sedentary role sitting at a computer for an extended period; However, this would require the ability to move around within an office environment and bend or stand as necessary and to move about inside the office to access file cabinets, office machinery, etc. Regularly communicates with others both verbally and in writing to convey information. Air travel required when active participation in meetings outside the office are deemed necessary.

Requirements

Qualified applicants will contribute the following:

- High school diploma, associate’s/bachelor’s degree in a relevant field preferred.
- 5+ years of experience in an office environment performing reception, customer service, or general administrative duties preferred.
- Understanding of Microsoft Office: Word, Excel, Power Point (Advanced level). is required.
- Excellent verbal and written communication skills with a professional, welcoming, and polished demeanor.
- Strong attention to detail with the ability to prioritize tasks, multi-task, and manage time effectively in a fast-paced environment.
- Demonstrated ability to interact professionally with visitors and employees at all levels, while maintaining strict confidentiality regarding sensitive HR and company information.
- Proactive attitude with strong initiative and the ability to troubleshoot office management issues independently.
