Type: Regular, Non-Exempt, Full-time. This position is part of a collective bargaining unit represented by CWA Local 9410.
Location: San Francisco, CA. This is a hybrid role that is required to work in our San Francisco office two days a week. Occasional evening and weekend work, as well as local, statewide, and domestic travel, may be required.

Reports to: Legal Services Director
Compensation and Benefits: The salary range for this position is $80,340 to $104,825 . The compensation is determined based on relevant years of experience.

Travel & Meetings: All ALC staff are expected to participate in regular check-in meetings with their supervisor/supervisees, staff meetings, team meetings, and other organization meetings, as required. This includes two (2) annual retreats, an anniversary celebration dinner, and meetings as needed in the San Francisco Bay Area. This role will represent ALC at required government-held meetings.
The Opportunity
The Asian Law Caucus (ALC) seeks a Legal Data & Grants Compliance Manager to support the integrity, efficiency, and accountability of the organization’s legal administrative functions on legal data management, legal support, and grants compliance.
The Manager ensures that legal and case-related data is accurate, timely, and useful for internal management, external reporting, and funder compliance. The role also provides hands-on support for legal administrative systems, workflows, and documentation, while helping the organization maintain compliance with grant requirements and related operational policies.
This position is ideal for a highly organized, detail-oriented professional who is comfortable working at the intersection of legal services, data management, and grants compliance.
The Organization
ALC is the nation’s first legal organization focusing on advancing and defending the civil rights of Asian and Pacific Islander (API) communities. Since 1972, ALC has fought for access to affordable housing in San Francisco’s Chinatown, litigated high-profile civil rights cases, advocated for the passage of landmark policy changes, and provided an array of services including community education, advocacy, and direct client representation to further the rights of low-income immigrants and communities of color, across our Housing Rights, Workers’ Rights, Immigrant Justice, and National Democracy Initiative programs, and other emerging areas of law.
Core Responsibilities
Legal & Case Data Oversight
- Maintain and monitor legal and case management databases and files for accuracy, consistency, and timely entry of client- and case-related information by regularly auditing client records and case files.
- Generate, review, and analyze case-related reports on a regular cadence to inform high quality legal services as well as proper staffing and allocation of resources and help ensure timely completion of deadlines and compliance with funder requirements.
- Help establish and maintain data protocols to streamline and create quality-control procedures from client intake to case closing, in collaboration with program staff and under the supervision of the Legal Services Director.
- Build and maintain real-time dashboards to track case progression, court deadlines, and grant deliverables.
Legal Infrastructure & Administrative Support
- Under the direction of the Legal Services Director and Litigation Director, support the improvement of internal legal systems, protocols, and case workflow to increase efficiency, consistency, and accessibility across the legal programs, including standardized document management, templates, and internal procedures across all legal programs.
- Coordinate with program staff on file maintenance, matter opening and closing procedures, conflict check processes, and document retention practices for cases, as applicable.
- Manage implementation of and user support for legal case management system (Clio Manage)
- Support the training of new and existing legal staff as well as pro bono volunteers on case management software workflows, data entry standards, and confidentiality protocols.
- Manage all legal subscriptions, software, and accounts, including but not limited to Bluebook, File&ServeExpress, Pacer, Westlaw, Practising Law Institute, Logikcull, Onelegal
- Manage annual renewal of State Bar Attorney Dues and work with Legal Director and Finance team for review and requirements
- Liaise with Operations, Finance, and Development to ensure legal systems are aligned with organizational policies and grant requirements
Program & Grant Reporting and Compliance
- Support the Legal Services Director by pulling caseload, client demographic, activity, and outcome metrics to evaluate program performance and grant compliance.
- Manage compliance and reporting for ALC's portfolio of grants (e.g., State Bar of California), helping ensure all funder deadlines and deliverables are met.
- Assist in the preparation and submission of invoices, programmatic reports, and other contract-mandated deliverables to government funders on the applicable cadence (monthly, quarterly semi-annually, etc.), including by turning complex metrics into clear summaries for grant reports and stakeholder presentations.
- Maintain a master calendar of government grant deadlines, reporting requirements, and compliance milestones to ensure legal teams are meeting deliverables, tracking required outcomes, and spending-down against grants budgets, and proactively flag risks to the Legal Services Director.
- Partner with the Legal Services Director, Litigation Director, Program Directors, and Finance Director to reconcile client and time-tracking data against grant deliverables and budgets.
Grant Procurement & Life Cycle Management
- Track government funding opportunities, and pursue and secure new government grants and contracts relevant to ALC's breadth of work.
- Coordinate the procurement process for government grant renewals and new government awards, including proposal submission logistics, contract negotiation support and amendments, onboarding of new grants into internal tracking systems and close-out processes.
- Serve as liaison between program staff and government funders on compliance, reporting, and administrative matters, including site visits, monitoring reviews, and audits conducted by government funders.
- Maintain organized, audit-ready documentation for all government grants, as it relates to legal data and case files.
Desired Qualifications
- 3-5 years of experience in legal aid, public interest law, or legal non-profit organizations with at least three years of managing legal data and/or government grants compliance, such as time-tracking systems, grant billing and reporting requirements.
- Paralegal certificate, grants management certification, compliance certification, or related professional credential such as a BS in data analytics, statistics are a plus.
- Excellent analytical skills, with the ability to audit data for accuracy and identify discrepancies.
- Exceptional organizational skills and close attention to detail, with the ability to manage multiple deadlines across a complex grant portfolio.
- Strong written and verbal communication skills, including experience communicating directly with government agency representatives.
- Comfort working cross-functionally with attorneys and program staff, finance and development colleagues, and partner organizations.
- Proficiency with Clio or similar legal case management system, Microsoft Office Suite, including OneDrive, Sharepoint, and Google Suite.
