Accountabilities
Program Administration and Coordination
- Coordinate income tax clinic operations including scheduling appointments, intake process, site logistics and required documents for across all campuses.
- Coordinate and ensure site contacts and IT are set up at each location with equipment, technology, software and other operational requirements are ready.
- Maintain accurate program records, statistics, volunteer schedules and procedural documents including the tracking of program activities, clients served, tax returns completed, appointments, volunteer hours, referrals, clinic locations, etc.
- Prepare regular updates and communication program challenges, risks, or concerns to the Community Program Manager monthly reports for the Community Program Manager and support reporting requirements with partners such as Momentum, United Way and Aspire Calgary.
- Maintain secure and organized client and accurate program records in accordance with confidentiality and privacy requirements.
- Maintains The Salvation Army Accreditation standards in all areas.

Client Services Support
- Provide respectful, professional relationships and client-centered service through the tax clinic process.
- Provide clients with clear communication and information regarding clinic services, eligibility, appointments and required documentation.
- Provide hands-on support to clients by assisting them in obtaining required tax documents and navigating barriers such as low income, limited literacy, language barriers, missing documentation, or difficulty accessing online services.
- Assist and identify additional needs and provide appropriate referrals to our other programs within the Salvation Army and/or local community services.
- Ensure required client intake, consent, confidentiality and tax documentation is completed, maintained appropriately and submitted on time.
Volunteer and Program Support
- Work closely with the Volunteer Services Coordinator to recruit, onboard, schedule, and support tax volunteers.
- Ensure volunteers complete all required system registration, training, onboarding, and program requirements.
- Serve as the main point of contact for volunteers, providing ongoing guidance and support related to basic tax filing, client service, and program boundaries.
- Ensure only eligible basic tax returns within the CVITP scope are completed.
- Ensure volunteers and staff follow applicable regulatory requirements and program criteria, including eligibility, privacy, consent, confidentiality, and secure handling of client information.
- Maintain volunteer schedules and track volunteer hours.
Working Conditions
- This is a temporary part-time position, and hours will vary based on the program needs/tax season. With the possibility of extension on a yearly basis.
- Scheduling may vary accordingly to requirements of responsibilities; some flexibility is required as it relates to hours of work.
- Main office location will be at the Community and Family Services (East Campus) location in our Forest Lawn SE location. Other locations are our downtown office Centre of Hope and West Campus office.
- Traveling within Calgary to other campuses are required and will vary based on the needs of the program.
- Support clients experiencing financial hardship, housing instability, language barriers, or other challenges.
Education, Qualifications and Certifications:
- A two-year diploma or post-secondary education in finance, accounting, business administration, social services, nonprofit management, or a related field is preferred.
- Equivalent education, training, and experience may be considered.
- Police Information Check (PIC) with Vulnerable Sector Search is required.
- Child Intervention Record Check is required.
- Valid Class 5 driver's license and access to a reliable vehicle is required.
Experience and Knowledge Requirements
- Experience working with CRA/CVITP programs and tax-filing processes is preferred.
- Experience using CRA/CVITP systems and tax-filing technology, including EFILE, RepID, and Auto-fill My Return, is considered an asset.
- Experience with volunteer coordination, program reporting, or community-based programs is considered an asset.
- Experience working with marginalized and vulnerable populations.
Skills and Capabilities
- Proficient in CRA/CVITP systems and tax-filing software, including EFILE, RepID, and Auto-fill My Return.
- Proficient in Microsoft Office 365, including Outlook, Excel, Teams, and Word, with the ability to use spreadsheets, databases, tax software, and reporting tools.
- Strong understanding of basic tax preparation processes and CVITP program requirements.
- Strong organizational and coordination skills, with the ability to manage volunteers, appointments, schedules, and multiple clinic locations.
- Strong communication and interpersonal skills, with the ability to build respectful relationships with clients, volunteers, staff, and community partners.
- Strong attention to accuracy, confidentiality, client service, and reporting requirements.
- Ability to handle sensitive and confidential client information appropriately and maintain privacy.
- Ability to work independently and collaboratively in a community-based environment.
- Ability to support individuals experiencing financial hardship, language barriers, or other challenges with patience, respect, and professionalism.
- Willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
Compensation:
The target hiring range for this position is $22.08 to $27.59 with a maximum of $33.11.
Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
