As a rapidly growing, mission-driven organization, we are currently seeking an ambitious, commercially minded, and proactive Admissions Advisor to join our dynamic enrollment team. You will play a pivotal role in guiding prospective student-athlete families through their educational journey, driving growth, and helping shape a scalable enrollment ecosystem while working alongside a collaborative, high-performing team.

Position Overview:

As an Admissions Advisor at USPA, you will serve as a primary ambassador for our school, cultivating relationships with families of elite student-athletes from initial inquiry through enrollment and seamless onboarding. The ideal candidate has experience working with middle and high school students and families, with vast experience in working with student-athletes or elite athletes through the enrollment and admissions process.

You are someone who thrives on conversation, is not afraid to pick up the phone, and possesses the strategic mindset needed to navigate sensitive discussions regarding tuition, student information, and student retention. This individual will confidently communicate USPA's academic model, student support, college-preparatory pathway and flexibility options to families. While managing a portfolio of prospective students from inquiry through enrollment, this person will build trust with families throughout their decision-making process, while consistently following up and identifying any barriers to enrollment. This person strives in following established CRM processes and data-entry standards to support accurate reporting, lead tracking, and enrollment analysis; in the process ensuring that information gathered through calls, emails, and the application process is properly documented.

Because we are a rapidly growing school, this role requires an exceptional level of openness, flexibility, and a strong willingness to take on new roles and responsibilities as our community expands. In addition to core admissions duties, you will play a dynamic role in hosting and leading virtual community events, driving retention conversations, managing alternative enrollment pathways, including part-time and single-course enrollment while collaborating and working cross-functionally amongst departments in the attainment of enrollment goals.

KEY RESPONSIBILITIES:

· Lead Management & Timely Outreach: Conduct proactive, timely outreach via phone calls, personalized emails, and other communication channels to incoming leads and prospective student-athlete families.

· Cold Calling & High Engagement: Comfortably and confidently pick up the phone to initiate cold calls and follow up with inquiries, sparking meaningful interest in our flexible online academic programs.

· Virtual Open Houses & Events: Take a leading role in presenting and hosting Virtual Open Houses to showcase our school community and unique athletic academic balance.

· Data Quality & CRM Management: Maintain accurate, complete, and up-to-date records for all prospective students, applicants, and enrolled families throughout the admissions lifecycle by ensuring all required CRM fields are completed accurately, including lead source, acquisition channel, student start date, sports/performance area, and other required admissions data points.

· Event Data & Strategic Follow-Up: Track and analyze participation and conversion data from Virtual Open House events, executing targeted pre- and post-event outreach to engage leads effectively.

· Cross-Functional Collaboration:

o Collaborate with our Learning Coach and Student Support Team during the admissions process when a family identifies their student needs additional accommodations/support to be successful.

o Work closely with the Partnerships team to strategically make connections to relevant sports and educational partners following a family successfully enrolling.

· End-to-End Family Guidance: Guide prospective families seamlessly through the entire admissions lifecycle—from initial inquiry and event attendance, through the application process, to final enrollment.

· Financial & Contract Management: Work closely with families regarding tuition structures, payment plans, contract execution, and financial onboarding.

· Seamless Onboarding Hand-off: Ensure a smooth and welcoming transition by passing enrolled families off to the onboarding and student success teams.

· Alternative Enrollments: Oversee and manage specialized enrollment streams, including part-time programs and single-course registrations tailored for training schedules.

· Retention & Cross-Functional Growth: Bring an open-minded and flexible approach to support data-driven projects, including spearheading family retention conversations, overseeing that process, and readily adapting to new roles in our rapidly growing environment.

THE IDEAL CANDIDATE WILL HAVE:

Required Qualifications:

· 3+ years’ experience in admissions, enrolment, education, advising, recruitment, or a related client-facing role.
· Experience managing a high volume of prospective students/families through the enrolment process.
· Strong verbal, written, consultative, and relationship-building skills.
· Experience using a CRM or admissions management system.
· Excellent organisation, attention to detail, and follow-through.
· Ability to manage multiple priorities, meet enrolment deadlines, and maintain accurate data.
· Comfortable conducting phone and video consultations.
· Ability to work independently in a remote/online environment.

Preferred Qualifications:

· Education & Sales: Background in education and/or sales, with a track record of achieving or exceeding performance targets.
· Enrolment & Follow-Up: Persistent and proactive in managing pipelines, following up with prospects, overcoming objections, and supporting families through complex decisions.
· Online Education: Experience with AP courses, NCAA/college pathways, transcripts, U.S. secondary education, or international education.
· Communication & Outreach: Confident on the phone, with experience in cold calling, active listening, virtual presentations, and building rapport quickly. Proven ability to develop personalised email and multi-channel outreach campaigns.
· Family Engagement: Strong emotional intelligence and ability to navigate challenging conversations around tuition, value, and retention.
· Adaptability: Flexible, proactive, and comfortable taking on new responsibilities in a fast-paced, growing online school environment.
· Technical & Data Skills: Proficient with CRM systems such as HubSpot, Salesforce, or Microsoft Dynamics, with experience maintaining accurate records, managing pipelines and event data, supporting audits, and meeting reporting requirements.
