Job Description
We have an opening for a Digitization Specialist who is responsible for production digitization operations within Knowledge Management’s Digitization Services program, applying established digitization standards, workflows, and quality practices to convert physical materials into digitized, repository-ready content. Most of the assigned work involves classified materials and vault-based operations, with some unclassified digitization projects as needed. Coordinates document handling, preparation, scanning, and metadata capture, following security procedures where applicable and maintaining adherence to digitization policies and practices across both classified and unclassified work. This position will be in the Administration Division within the Operations and Business Directorate and is matrixed to the Strategic Deterrence (SD) Directorate.
This position may offer a hybrid schedule, which includes the flexibility to work from home one or more days per week, after a probationary period. The specifics of the hybrid schedule, including the exact number of days required in the office and virtual work options, may vary based on the needs of the team and the organization.
This position will be filled at either level based on knowledge and related experience as assessed by the hiring team. Additional job responsibilities (outlined below) will be assigned if hired at the higher level.
You will
- Assess digitization requirements for assigned materials and apply general knowledge of established digitization policies, procedures, and practices to develop and implement day-to-day actions.
- Perform digitization operations, including document handling, preparation, and scanning, following established security procedures for classified materials where applicable.
- Prepare physical documents for scanning, including any repair or unbinding needed to produce complete, legible scans.
- Following validation of digitized content, route physical materials for disposition per established requirements or guidelines.
- Enter and update digitization tracking information in established systems and logs.
- Coordinate movement of materials between storage locations and the digitization workspace.
- Maintain workspace equipment in good working order and escalate facility or equipment needs to the KAS program administrator.
- Coordinate efforts with others in the completion of digitization projects and ongoing activities; may be designated as a project/technical lead.
- Perform other duties as assigned.
Additional job responsibilities, at the A07.2 level
- Using comprehensive knowledge of digitization operations and general knowledge of related areas, assess digitization requirements and deliverables; interpret and apply related policies and procedures to develop, approve, and implement actions.
- Serve as a point of contact for digitization workflow questions and provide guidance to other staff; serve as a resource through training and mentoring on digitization skills, monitoring quality and service standards.
- May provide input to the development and revision of digitization procedures, methods, and practices; lead implementation activities and monitor results.
- Research and resolve multi-faceted or escalated problems regarding digitization operations; prepare summaries of results for management decision-making.
- Provide input to management on allocation and prioritization of digitization resources.
- Review established self-assessment metrics to monitor digitization targets (e.g., throughput, quality); report findings to management and initiate corrective actions.
- May serve as working supervisor and/or may direct assignments and monitor customer service and quality results for work unit.
Qualifications
- Ability to obtain and maintain a U.S. DOE Q-level security clearance which requires U.S. Citizenship.
- Experience coordinating work activities, workflow, and processes for a production or service operations environment.
- Knowledge of digitization technology and equipment (e.g., scanners, imaging software).
- Experience with Microsoft Excel and Microsoft Word.
- Demonstrated attention to detail and ability to follow strict procedural requirements, including security procedures for classified materials.
- Ability to work independently and reliably, including in secure, vault-based environments.
Additional qualifications, at the A07.2 level
- Comprehensive knowledge of digitization operations, with general knowledge of related areas (e.g., records management, metadata practices).
- Experience developing or improving digitization processes and procedures.
- Experience training or mentoring staff on digitization skills.
- Experience analyzing operational or performance data.
Qualifications We Desire
- Bachelor’s degree in Library and Information Science, History, Museum Studies, or a related field, or an equivalent combination of education and experience.
Pay Range
$82,140 - $115,728 Annually
$82,140 - $100,608 Annually for the A07.1 level
$94,560 - $115,728 Annually for the A07.2 level
This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee’s position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.

Security Clearance
This position requires a Department of Energy (DOE) Q-level clearance. If you are selected, we will initiate a Federal background investigation to determine if you meet eligibility requirements for access to classified information or matter. Also, all L or Q cleared employees are subject to random drug testing. Q-level clearance requires U.S. citizenship.
