Job Summary

The Assistant Project Manager supports the successful execution of electrical construction projects by coordinating administrative, financial, and operational project activities across the project lifecycle. Working under the direction of Project Managers and Senior Project Managers, this role ensures project documentation, communication, and workflows are executed accurately and in alignment with contract requirements, schedules, and company standards.

Operating within the Project Team under the Operations function, the Assistant Project Manager plays a critical role in maintaining project organization, supporting cost tracking and billing processes, and facilitating coordination between field leadership, vendors, subcontractors, and clients. While this role does not own project outcomes, it directly contributes to project performance through disciplined execution and proactive support.

This position is designed to build foundational project management capabilities, including exposure to budgeting, scheduling, procurement, and client interaction. The ideal candidate is detail-oriented, organized, and technically grounded, with a strong desire to develop into a fully independent Project Manager within electrical construction and mission critical environments.

Essential Functions, Duties, and Responsibilities

Tasks may include, but are not limited to the following:

· Assist Project Managers with all phases of project planning, execution, and closeout to support successful project delivery

· Prepare and manage project documentation including RFIs, submittals, change logs, and project correspondence to ensure accuracy and timely processing

· Maintain and organize project files, contracts, drawings, and documentation within project management systems for audit readiness and field accessibility

· Track and update project schedules, manpower logs, and project tracking tools; escalate delays, conflicts, or variances to project leadership

· Coordinate daily activities with field Superintendents, foremen, subcontractors, and vendors to support progress and issue resolution

· Assist with procurement activities including material buyouts, purchase orders, vendor communication, and delivery tracking

· Support project cost tracking by updating logs, monitoring labor hours, and assisting with budget-to-actual reporting and productivity tracking

· Assist with owner billing processes including AIA pay applications, lien waivers, and supporting documentation for monthly billing cycles

· Attend project meetings with clients, general contractors, and internal teams; prepare agendas and distribute clear meeting minutes and action items

· Support change order development by compiling documentation, tracking scope impacts, and coordinating inputs (no negotiation authority)

· Research and coordinate responses to technical questions from the field in collaboration with Project Managers and engineering teams

· Support safety documentation and coordination with the safety team; assist with commissioning, punch lists, and project closeout documentation

Required Knowledge, Skills, and Abilities:

· Foundational knowledge of electrical construction processes, project lifecycles, and basic installation methods

· Ability to read and interpret construction drawings, specifications, submittals, and one-line diagrams with guidance

· Working knowledge of project documentation processes including RFIs, submittals, change orders, and contract records

· Basic understanding of project cost components including labor, materials, and subcontractor costs; ability to support budget tracking

· Strong organizational and document control skills with attention to detail and accuracy in a fast-paced environment

· Effective written and verbal communication skills to coordinate with field teams, vendors, and internal stakeholders

· Ability to manage multiple tasks, prioritize work, and meet deadlines under direction

· Problem-solving skills with the ability to identify issues, gather information, and escalate appropriately

· Proficiency in project management and construction software (e.g., Procore, Autodesk, Bluebeam) and Microsoft Office Suite

· Basic understanding of scheduling concepts, project sequencing, and coordination of trades

· Awareness of construction safety standards (OSHA) and ability to support compliance documentation

· Demonstrated initiative, accountability, and willingness to learn and develop into a Project Manager role

Supervisory Responsibilities

· Does not have direct supervisory responsibility over employees

· Provides day-to-day coordination and task-level guidance to project stakeholders including subcontractors, vendors, and project support personnel to ensure alignment with project requirements

· Supports field leadership (Superintendents and Foremen) by facilitating communication, documentation flow, and issue tracking to maintain project progress

· Assists in onboarding and coordination of subcontractors by ensuring required documentation, compliance items, and project expectations are communicated and tracked

· May support training and guidance of new or junior project support staff on project processes, systems, and documentation standards

· Reinforces company standards related to safety, documentation, and project controls through consistent communication and follow-up

Work Environment/Physical Demands/Position Type and Expected Work Time

Work Environment:

· Work is performed in a combination of office settings and active construction job sites, including commercial, industrial, and mission critical/data center environments

· Regular interaction with field operations, requiring routine site visits to support coordination, documentation, and project progress tracking

· Exposure to typical construction conditions including noise, dust, confined spaces, heights, and varying weather conditions when on-site

· Must comply with all company and site-specific safety requirements, including the use of personal protective equipment (PPE) such as hard hat, safety glasses, high-visibility vest, gloves, and appropriate footwear

· May require occasional travel to local or regional project sites based on project needs

· Work is fast-paced and deadline-driven, requiring the ability to manage multiple priorities and adapt to changing project demands

Position Type:

· Full-time, exempt

Typical Schedule/Shift Details:

· Standard work schedule is Monday through Friday, aligned with normal business hours; additional hours may be required based on project demands

· Schedule is driven by project needs and may require early start times to align with field operations or jobsite activities

· Regular coordination with field teams may require presence on-site during active construction hours, including early mornings or extended days

· Occasional evening or weekend work may be required to support critical project milestones, shutdowns, or schedule-sensitive activities

· Availability to respond to project-related issues outside of standard hours as needed to support project continuity

· Travel to job sites may be required on a regular basis depending on project location and assignment

Overtime Expectations:

· This position is classified as exempt and is not eligible for overtime pay in accordance with applicable federal and state laws

· The role is expected to fulfill the responsibilities of the position regardless of hours required, with workload driven by project demands, schedules, and client requirements

· Additional hours, including early mornings, extended workdays, evenings, or weekends, may be necessary to support project milestones, field operations, and schedule-critical activities

· Availability outside of standard business hours may be required to address project needs, coordination issues, or time-sensitive deliverables

· Work schedules should be managed in coordination with project leadership to ensure project objectives are met while maintaining effective workload planning

Required Education and Experience

Education:

· Bachelor’s degree in Construction Management, Engineering, Business, or a related field preferred

· Equivalent combination of education and relevant electrical construction experience may be considered in lieu of a degree

· Formal training or coursework related to project management, construction processes, or technical disciplines is a plus

Certifications/Licenses:

· OSHA 10 Certification required or ability to obtain within a defined timeframe (e.g., 90 days of hire)

· Valid driver’s license with an acceptable driving record required for travel to job sites

· CPR/First Aid certification preferred or ability to obtain

· Fundamental knowledge or exposure to electrical safety standards (e.g., NFPA 70E) preferred

· Entry-level project management training or coursework (e.g., CAPM or equivalent) preferred but not required

Experience Requirements:

· 1–3 years of experience in construction, project coordination, or a related role; electrical construction experience preferred

· Exposure to project documentation processes including RFIs, submittals, change orders, and document control

· Basic experience supporting project cost tracking, billing processes (e.g., AIA), or budget monitoring

· Experience working in or supporting field operations environments, including coordination with superintendents, foremen, or subcontractors

· Familiarity with construction drawings, specifications, and project schedules

· Experience using project management or construction software (e.g., Procore, Bluebeam, Autodesk, or similar)

· Demonstrated ability to manage multiple tasks, meet deadlines, and operate in a fast-paced, deadline-driven environment

Equipment or Machines Routinely Used in This Position

· Computer or laptop with project management software (e.g., Procore, Autodesk Construction Cloud, or equivalent)

· Document management and markup tools (e.g., Bluebeam, PlanGrid, or similar)
