About this role
BEI Construction is seeking a temporary Accounting Assistant to support our accounting team through the end of 2026. There may be opportunity for this role to convert to regular full-time classification in 2027. The Accounting Assistant supports accurate and timely accounting operations across both accounts payable and accounts receivable. This role reviews and enters invoices, assists with vendor payments, prepares customer billings, applies incoming payments, maintains organized records, and helps reconcile accounts. This entry-level position is ideal for a detail-oriented individual who is eager to build broad accounting experience in a fast-paced construction environment. This position is based in Alameda, CA and reports to the Controller.
Responsibilities:
- Review vendor invoices for accuracy, proper approval, job-cost coding, and required supporting documentation.
- Match invoices to purchase orders, subcontracts, delivery receipts, and other records.
- Enter accounts payable invoices and payment information accurately and promptly into the accounting system.
- Prepare checks, electronic payments, and supporting payment documentation for review.
- Monitor invoice approval status and follow up with internal teams to help ensure timely payment.
- Reconcile vendor statements, research discrepancies, and resolve routine payment issues.
- Maintain accurate vendor records, including tax forms, lien releases, insurance documents, and payment records.
- Assist with accounts payable aging reviews, month-end close, audits, and other payable-related projects.
- Provide secondary accounts receivable support by preparing customer invoices, progress billings, and related documentation.
- Record and apply customer payments and assist with routine receivable account follow-up.
- Respond professionally to vendor, customer, and internal accounting inquiries.
- Protect confidential financial, customer, vendor, and company information.
- Other duties as assigned.
Qualifications:
- High school diploma or equivalent.
- Basic understanding of accounting or bookkeeping principles gained through education, training, or work experience.
- Working knowledge of Microsoft Excel, Outlook, and Word.
- Ability to enter data accurately, manage priorities, and meet deadlines.
- Clear written and verbal communication skills.
