Office Assistant

We are seeking a professional, organized, and service-oriented Office Assistant to provide administrative and front-office support in a fast-paced ministry environment.

The Office Assistant serves as a key point of contact for staff, members, visitors, phone calls, and general inquiries while helping maintain a welcoming, organized, and professional office environment.

The ideal candidate is dependable, detail-oriented, able to manage multiple priorities, comfortable taking initiative, and committed to providing excellent service while supporting the mission and ministry of the organization.

What You'll Do

- Provide front desk coverage and welcome visitors.
- Manage incoming and outgoing office phone calls.
- Monitor designated general email inboxes.
- Sort and distribute incoming mail.
- Perform data entry, filing, copying, document preparation, and other administrative tasks.
- Monitor and maintain office and copier supplies.
- Provide administrative support to staff and leadership.
- Maintain the church calendar and coordinate conference and meeting room scheduling.
- Maintain a clean, organized, peaceful, and welcoming office environment.
- Coordinate volunteer backup coverage for the front desk as needed.
- Assist with meeting preparation, refreshments, and other office hospitality needs.
- Receive and appropriately route benevolence and bereavement inquiries according to established procedures.
- Support established procedures for managing visitors and guest access.
- Assist with projects, events, and programs as assigned.
- Maintain strict confidentiality regarding leadership, members, finances, and other sensitive information.
- Perform other administrative duties as assigned.

What We're Looking For

- High school diploma or equivalent.
- Minimum of 3 years of administrative and/or customer service experience .
- Advanced proficiency with Google Workspace .
- Experience with Planning Center or another church management system preferred.
- Strong written and verbal communication skills.
- Excellent organizational and time-management skills.
- Strong judgment and decision-making ability.
- Ability to manage multiple priorities and meet deadlines.
- Strong attention to detail and follow-through.
- Ability to work independently with minimal direction.
- Professional demeanor and strong customer-service mindset.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Ability to work collaboratively with leadership, staff, volunteers, members, and visitors.

Schedule

This position is approximately 15–20 hours per week , primarily Tuesday through Thursday based on departmental scheduling needs.

Some Sundays and special events may be required.

The position also participates in the Tuesday All-Staff Meeting from 10:00 AM–11:00 AM and other scheduled office meetings.
