About this role

ESSENTIAL DUTIES AND RESPONSIBILITIES
The Receptionist is responsible for providing a welcoming and professional first point of contact for visitors, clients, and callers. This position manages a multi-line telephone system, greets and assists visitors, provides support with program applications, and performs a variety of clerical and administrative duties to ensure the reception area operates efficiently and professionally. Specific duties include:

•    Answer and direct incoming calls using a multi-line telephone system in a courteous and professional manner.
•    Greet, welcome, and assist visitors, clients, staff, and community members.
•    Provide information and general assistance regarding programs, services, and office procedures.
•    Maintain an organized, clean, and welcoming reception area.
•    Receive, sort, distribute, and prepare daily mail. 
•    Receive and coordinate deliveries, notify appropriate staff of incoming packages and materials, and ensure packages are promptly removed from reception area.
•    Perform routine clerical duties, including scanning, filing, copying, and data entry.
•    Assist with distribution of program enrollment applications and other relevant program documents as necessary; Maintain accurate and organized electronic and paper records
•    Call youth via internal radio to facilitate parent pick-up and dismissal
•    Ensure that all visitors, vendors and participants are properly screened utilizing the Visitor Management System
•    Entering and updating participant enrollment information for all new program participants associated with Discretionary program
•    Collect, review, and organize attendance sheets submitted by participating programs to ensure attendance records are complete and accurate; record and maintain accurate attendance records
•    Update and maintain emergency contact log as new participants enroll or as participant information changes.
•    Communicate professionally and respectfully with individuals from diverse backgrounds.
•    Provide general administrative support to staff and other departments as assigned.

COMPETENCIES

•    Must be dynamic, organized, detail-oriented and able to multi-task handling incoming calls and walk-in traffic concurrently; take initiative and work independently on tasks
•    Proficiency with MS Office Suite
•    Bilingual in English and Spanish is required

EDUCATION EXPERIENCE
•    High School Diploma or High School Equivalency required. 
•    Clerical and customer service experience a plus
