# Job Description Summary
Supporting the USCAN VP/General Manager, USCAN Contrast Media Leaders and field team. We are seeking a highly organized and proactive Executive Assistant (EA) to provide comprehensive administrative support involving calendar management, travel coordination, meeting preparation, and acting as a liaison between executives and internal/external stakeholders.
Job Description
Roles and Responsibilities
- Proactively coordinate GMs schedule and effectively manage GMs calendar for meetings and key priorities.
- Prepare presentations, reports, spreadsheets, meeting minutes and other information materials, including follow up of actions.
- Coordinate regular communications from the GM, including drafting, organizing, and distributing updates, announcements, meeting follow-ups, and other key messages to internal stakeholders to ensure consistent and timely communication across the USCAN Contrast Media team.
- Plan, schedule and organize business meetings and travel itineraries, ensure the validity of visas and passports, prepare and reconcile expense accounts; process the GM’s travel expenses.
- Establish and develop strong relationships with the other EA’s across the globe to achieve good coordination and effective activities planning.
- Organize large meetings (e.g. departmental meetings, project workouts), coordinating on- and/or off-site resources as required.
- Support the GM’s and Contrast Media Team projects management and priorities and take charge of their follow-up to ensure that commitments are met within the allotted time.
Required Qualifications
- 5+ years of previous executive administrative experience supporting a C-level or GM Executive Leadership is required.
- Proven experience in assisting executives leading multiple country leaders and diverse teams. You have experience of Outlook, Teams, PowerPoint and Excel.
- Organized, rigorous, you are also an excellent communicator (English oral and written).
- Proactively drives improvement of day-to-day activities while demonstrating a behavior of thinking ahead of the curve. Engage and implement small continuous improvement projects.
- You know how to work methodically, analytically, and make decisions in ambiguous situations.
- Ability to provide absolute security for highly confidential information and to maintain the confidentiality of extremely sensitive information.
- Experience onboarding Commercial team members located across the country to ensure a smooth transition into the company and team
Desired Characteristics
- You have extensive and proven experience as executive assistant in multinational companies and matrix organization.
- Strong organizational skills and a keen sense of detail and precision.
- Resourcefulness and flexibility to manage unforeseen events for example travel disruptions.
- Ability to set priorities and anticipate needs, make decisions in ambiguous situations and to balance workload with tight deadlines and change priorities in a rapidly changing environment.
- Experience in project management.
- Ability to work virtually effectively but also flex and travel to work sites, when appropriate to support meetings.

For U.S. based positions only, the pay range for this position is $78,400.00-$117,600.00 Annual. It is not typical for an individual to be hired at or near the top of the pay range and compensation decisions are dependent on the facts and circumstances of each case. The specific compensation offered to a candidate may be influenced by a variety of factors including skills, qualifications, experience and location. In addition, this position may also be eligible to earn performance based incentive compensation, which may include cash bonus(es) and/or long term incentives (LTI).
