Job Summary
Workplace: MEXICO - Remote ( #LI-Remote )
The Learning Experience Coordinator is a key operational partner supporting University of Farmers learning, training, and leadership development programs. This role ensures that the logistics and administrative activities behind learning programs are organized, accurate, and delivered on time.
You will coordinate training schedules, learning cohorts, facilitators, learner registrations, leadership development events, workshops, credentialing programs, and stakeholder meetings. As a central point of contact for learners, facilitators, vendors, and business partners, you will help create a seamless learning experience while ensuring program details, communications, calendars, materials, and records are properly managed.
This is a highly collaborative role that requires strong organization, attention to detail, communication skills, and the ability to manage multiple priorities in a fast-paced learning environment.
Essential Job Functions
- Coordinate the day-to-day logistics and administrative activities for learning, training, leadership development, credentialing, and special learning programs
- Manage complex training calendars, cohort schedules, facilitator availability, learner registrations, workshops, and leadership development events
- Coordinate multiple programs and activities simultaneously, ensuring timelines, schedules, and deliverables remain on track
- Serve as a central point of contact for learners, facilitators, business partners, vendors, and other stakeholders
- Manage learner communications, including invitations, confirmations, reminders, schedule updates, and program-related information
- Coordinate facilitator schedules, session logistics, meeting arrangements, training materials, and other delivery requirements
- Support learner enrollment, registration, attendance tracking, completion records, and other program administration activities
- Maintain accurate learning program records, calendars, documentation, and participant information
- Prepare and distribute learning materials, communications, agendas, and other program resources
- Monitor program timelines and follow up on outstanding actions, ensuring deadlines and commitments are met
- Coordinate meetings and events, including scheduling, logistics, participant communications, and follow-up activities
- Partner with learning, leadership development, training, and business teams to understand operational needs and coordinate effective solutions
- Support vendor coordination and administrative activities related to external learning providers and facilitators
- Use learning management systems, scheduling tools, Microsoft Office, and other administrative platforms to manage program information and workflows
- Conduct quality and accuracy checks on schedules, learner records, communications, and program materials
- Identify scheduling conflicts, operational issues, or missing information and proactively coordinate solutions
- Maintain organized documentation and records in accordance with organizational policies and program requirements
- Support reporting and tracking of program participation, attendance, completion, and other operational metrics
- Contribute to process improvements that make learning program coordination more efficient and improve the learner experience
- Ensure program administration and learner information are handled accurately and in accordance with applicable policies, confidentiality requirements, and data privacy standards
Experience Requirements
- Experience in program coordination, learning operations, training coordination, administrative coordination, project coordination, or a related field
- Experience managing complex calendars and coordinating multiple concurrent programs or events
- Strong organizational and scheduling skills, with excellent attention to detail and follow-through
- Ability to manage competing priorities, deadlines, and high volumes of requests
- Strong written and verbal communication skills
- Advanced English required
- Ability to communicate professionally with learners, facilitators, vendors, and business stakeholders
- Experience supporting training, learning, leadership development, project management, or program operations preferred
- Strong proficiency with scheduling, calendar management, and administrative systems
- Experience working with Microsoft Office or similar productivity tools
