About this role

The Contract Administrator supports construction operations by managing contracts, subcontracts, insurance and bonding documentation, compliance requirements, and project records throughout the project lifecycle. This position serves as a key resource for project teams, helping ensure contractual compliance, document accuracy, risk mitigation, and timely administration of contract-related requirements.

Main Job Tasks & Responsibilities

- Administer owner contracts, subcontracts, purchase orders, and vendor agreements.

- Maintain contract records and project documentation throughout the project lifecycle.

- Coordinate contract execution, distribution, closeout activities, and document retention procedures.

- Communicate contractual obligations, milestones, notices, deadlines, and compliance requirements to project teams.

- Assist project teams in interpreting contract requirements, maintaining compliance with contract terms, and identifying key contractual obligations and flow-down requirements.

- Support subcontract administration, execution tracking, compliance documentation, correspondence, and contract modifications.

- Coordinate insurance certificates, endorsements, bonding requirements, and related documentation with project teams, brokers, and carriers.

- Monitor project-specific insurance, bonding, and contractual compliance requirements.

- Coordinate change order documentation, contract modifications, approvals, and related recordkeeping.

- Monitor contractual notice requirements related to changes, delays, and other project impacts.

- Maintain documentation related to claims, disputes, risk management activities, and contractual correspondence.

- Support contract databases, document control systems, audits, and compliance with company policies and procedures.

- Serve as a contract resource for project managers, operations personnel, and external parties by responding to contract-related inquiries and providing project status updates.

- Support training, process improvement, and educational efforts related to contract administration procedures.

Knowledge, Skills, & Abilities

- Knowledge of construction contracts, subcontract agreements, procurement processes, insurance requirements, and bonding requirements.

- Understanding of construction contract terminology and risk allocation principles.

- Strong organizational, communication, and document management skills.

- Ability to manage multiple projects and deadlines simultaneously.

- Strong attention to detail, accuracy, and problem-solving abilities.

- Ability to maintain confidentiality, professionalism, and positive working relationships.

- Proficiency with Microsoft Office, Teams, SharePoint, and related software systems.

- Experience supporting claims, dispute resolution, and compliance activities is preferred.

Education & Experience

- Bachelor's degree in Business Administration, Construction Management, Legal Studies, Finance, or a related field preferred.

- Three (3) or more years of contract administration experience, preferably within the construction, insurance, or legal industry.

- Experience in heavy civil, utility, industrial, or commercial construction preferred.

- Familiarity with public and private construction contracting requirements preferred.
