Job Summary of the Transportation Clerk position
The Transportation Clerk is a hybrid overnight role supporting both fleet operations and basic dispatch functions. This position keeps the yard, equipment, and fleet records in order after the day fleet team has left, while assisting the overnight dispatch team with driver check-ins, communication, system updates, and shift handoffs. Day-to-day direction is provided by the on-shift Dispatcher.
Responsibilities of the Transportation Clerk position
Yard, Keys & Truck Parking:
Direct and park returning trucks during the shift, ensuring all driver paperwork is turned in and accounted for.
Collect, secure, and log equipment keys from returning drivers; distribute keys to overnight or early-morning drivers per company key control procedures.
Maintain an organized, up-to-date log of truck parking and yard locations.
Report any drivers remaining inside the yard to the Fleet Manager or on-shift supervisor.
Stage trucks, keys, and tablets for the early-morning start so the 4:00 AM Fleet Clerk and first-shift drivers can roll out on time.
Inspections, Condition & Documentation:
Verify that drivers complete post-trip inspections in Samsara according to company policy; follow up on any missing inspections.
Review reported defects and damage, capture photos, and open work orders for necessary repairs.
Capture photographic evidence of dirty trucks to maintain accountability for cleanliness.
Verify that returning trucks have the required DOT paperwork in the cab and that tablets are collected, charged, and cleared at end of shift.
Update truck files and maintenance records in the fleet management system, maintaining data integrity.
Fuel & Maintenance Support:
Confirm trucks are fueled for the next shift; track, refill, and document fuel/DEF usage as needed.
Communicate trucks down for repair, open work orders, and parts needs to mechanics and the day Fleet Clerks.
Support the maintenance department with overnight documentation and receiving parts as needed.
Driver Check-in & Communication:
Check in with every driver scheduled for the shift using the Driver Daily Attendance Sheet and confirm scheduled owner-operators and carriers.
Answer driver calls promptly; if unable to answer, text the driver to acknowledge and assess whether immediate help is needed.
Use SMS as the primary driver communication method; call (do not text repeatedly) when an urgent answer is needed from a driver who is on the road.
Keep the Customer Service team informed of driver transit issues, delays, and exceptions throughout the shift.
System Updates (PortPro / PP Driver App / Samsara:
Enter and update dispatch information in PortPro, including trip closures with live updates.
Confirm drivers are updating moves and chassis numbers in PP V2 Driver App and clearing tablets at end of shift; assist drivers with system navigation and troubleshooting.
Use Samsara to monitor driver status (driving vs. idle), appointment progress, and DOT hours, and alert the Dispatcher before any driver approaches hours-of-service limits.
Document reasons for missed containers, missed moves, and missed empty returns in DrayFleet.
Equipment & Terminal :
Verify correct chassis usage by customer (e.g., Amazon imports – AIMZ; Yusen TJX – PTJZ; POLA accounts – OWN chassis) and flag mismatches to the Dispatcher.
Report damaged containers or chassis to the CS team with photos and notes entered in the DMS.
Assist with scheduling empty return appointments and help drivers by contacting LA/LB terminals by phone or email when issues arise.
Record tracking data for ad hoc or special project moves (driver, container, chassis, pickup/drop locations) for the CSR team.
Progressive Duties (after training):
Pre-dispatch drivers for the early-morning start and assign basic moves in DrayFleet as directed.
Help prevent dry runs, non-billable bobtails, and chassis misuse by double-checking locations and instructions before drivers depart.
Shift Handoff & Reporting:
At the start of shift, get a pass-down from the evening Fleet Clerk and dispatch team via Teams (Company Dispatch Team Chat): rollover work, drivers still out, trucks down, and open items.
Audit legs assigned not complete and open work orders before end of shift.
Send an end-of-shift recap covering drivers checked in/out, trucks parked and keys accounted for, trucks down for repair, missed moves with reasons, equipment damage, and any terminal, weather, or safety issues.
Provide a clear handoff to the 4:00 AM Fleet Clerk and the incoming dispatch team.
Provide daily reports on driver vehicle usage and escalate any driver conduct, equipment damage, or compliance concerns to management and the Driver Manager.
Requirements of the Transportation Clerk position
High school diploma or GED required.
Valid Drivers License.
Ability to work the overnight shift (9:30 PM – 6:00 AM), including weekends and holidays as scheduled.
Basic computer skills: email, Microsoft Office, and data entry.
Clear verbal and written communication skills.
No prior dispatch experience required – training provided
Experience in trucking, drayage, warehousing, or yard operations is a bonus but not required.
Familiarity with fleet paperwork, maintenance documentation, or DOT/FMCSA requirements.
Exposure to Samsara, DrayFleet, or another TMS/telematics system is a plus, but not required.
Bilingual (English/Spanish) is a plus but not required.
Mechanical background is a plus but not required
