Kitsap Mental Health Services (KMHS) is seeking an Admissions and Logistics Coordinator to support operations within the Youth Inpatient Unit. This position helps ensure admissions are coordinated efficiently while supporting daily unit functions that contribute to a safe and well-organized treatment environment. The role provides essential operational support that allows clinical and direct care staff to focus on serving youth and families. Primary Responsibilities:
• Coordinate client admissions from initial referral through arrival to the Youth Inpatient Unit.
• Ensure admission requirements, documentation, policies, and procedures are completed accurately and within required timelines.
• Communicate with staff and referral sources to support a smooth admissions process.
• Create and maintain the master staff schedule 6 to 8 weeks in advance.
• Monitor staffing levels and arrange additional coverage based on established protocols and client needs.
• Support kitchen operations by maintaining inventory levels and monitoring food safety documentation.
• Create and maintain inventory tracking systems for unit supplies.
• Prepare and submit purchase orders as needed.
• Provide clerical and administrative support to unit staff.
• Answer phones and assist with routine communication needs.
• Organize and distribute information to ensure staff receive timely updates.
• Complete required charting, data entry, and documentation in accordance with agency requirements.
• Attend mandatory trainings and maintain all required certifications and documentation.
Minimum Qualifications :
EDUCATION: High School Diploma or GED
EXPERIENCE : Experienced (minimum 3 years of job-related experience)
LICENSURE: Agency Affiliated Counselor Registration. Current CPR certification (or ability to obtain within 30 days of hire; training provided by the organization). Valid Washington Food Worker card.
Preferred Qualifications:
EDUCATION: Associate's degre e (In Business, Accounting, or related f ield) EXPERIENCE: Specialist ( Minimum 5 years of job-related experience) Course work in medical/psychiatric terminology.
Experience using an Electronic Medical Record (EMR).
Performance Requirements:
KNOWLEDGE:
- Working knowledge of healthcare insurance.
- Knowledge of medical terminology.
- Knowledge of general administrative and clerical procedures .

- Interpersonal Skills: Courtesy, tact, and diplomacy are essential elements of the job. Work involves personal contact with others inside and/outside the organization, generally regarding routine matters for purposes of giving or obtaining information which may require some discussion.
- Familiarity with computers is very important - staff will learn to use our Electronic Medical Record system, scheduling system, and need to be able to navigate the Microsoft Office.
- Confidentiality- able to maintain confidentiality and adhere to ethical standards
- Be proficient at data entry and extraction with the several computer programs/systems on the unit.
ABILITIES:
- Demonstrated ability to work in stressful situations (i.e., clients in crisis, numerous telephone calls).
- Demonstrated ability to work independently and as a team member.
- Adaptability - able to adjust approach to meet changing demands and situations including dealing with diverse people.
- The ability to operate a personal computer, fax machine, printer, and copier proficiently.
Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
Work Environment : Office and inpatient treatment unit.
Mental/Physical Requirements : Performing the essential duties of the job requires:
- Ability to sit, stand, and walk for extended periods.
- Ability to ascend and descend stairs and navigate indoor environments safely.
- Ability to lift, carry, push, and pull up to 50 pounds (occasionally).
- Ability to assist with client movement and transfers, with or without assistance, in accordance with training and safety protocols.
- Ability to safely participate in crisis intervention, including implementation of approved de-escalation techniques and physical restraints in accordance with agency training and policy.
- Ability to move quickly and respond to emergencies, including rapid repositioning or short-distance movement to maintain safety.
- Ability to use hands and arms for reaching, handling, and manipulation, including reaching above shoulder level.
- Visual acuity sufficient to read written materials and observe surroundings.
- Peripheral vision sufficient to monitor clients and the environment.
- Hearing sufficient to communicate effectively and detect environmental and behavioral cues.
- Ability to meet and maintain physical requirements demonstrated through agency-mandated training, including demonstration of ability to: maintain balance, twist torso, forward bend, pivot, sidestep, forward and backward step, crouch, move to secure limb, knee touch to ground, kneel, get up from floor sitting or kneeling position.
