OVERVIEW
The Administrative Assistant provides direct administrative support to the General Plant Manager and serves as a central point of coordination for day-to-day plant administrative activities and the site’s community relations efforts. This role manages calendars and meeting logistics, organizes records and correspondence, supports confidential meetings and follow-up activities, and maintains the site’s relationships and activities associated with community organizations, properties, events and other external stakeholders. The ideal candidate is highly organized, detail-oriented, service-minded and comfortable working across a fast-paced manufacturing environment and the surrounding community.
DETAILED ROLES & RESPONSIBILITIES
- Provide direct administrative support to the General Plant Manager, including calendar management, meeting coordination, scheduling, correspondence and day-to-day organization of priorities.
- Coordinate internal and external meetings, site visits and events; prepare agendas and materials, arrange meeting logistics, capture meeting notes when requested and track follow-up items.
- Maintain organized electronic and physical filing systems, records, correspondence and other administrative documentation.
- Prepare and format reports, presentations, letters, meeting materials and other business communications as needed.
- Coordinate administrative and logistical support for confidential meetings, labor relations discussions and union negotiations, including room scheduling, materials and meeting documentation as directed.
- Serve as the primary administrative coordinator for the site’s community affiliations and maintain productive relationships with community organizations, local institutions and other external stakeholders.
- Directly coordinate the day-to-day administrative needs, scheduling and activities associated with company-owned or supported community properties and facilities, including the park, library, museum and historic homestead.
- Coordinate use of community facilities for approved events and activities, including community meetings, company functions, receptions, site tours and other gatherings.
- Coordinate community events, sponsorships, charitable donations, outreach activities and partnership requests in collaboration with plant leadership and appropriate internal stakeholders.
- Maintain accurate records of community affiliations, events, sponsorships, donations, facility use, requests, contacts and follow-up activities.
- Receive and coordinate routine community inquiries and requests, routing sensitive or specialized matters to plant leadership or the appropriate internal resource.
- dentify community engagement opportunities and bring requests, recommendations and potential partnerships to plant leadership for consideration.
- Represent the company professionally when interacting with employees, union representatives, visitors, community partners, vendors and other stakeholders.
- Participate in required quality, safety, environmental and company training and support site policies and safety expectations.
- Perform other administrative duties and special projects as assigned.
WORK EXPERIENCES
- Minimum of 5 years of administrative, executive support, community relations, office coordination or related experience required.
- Experience providing administrative support to senior leader required
- Experience coordinating calendars, meetings, events, external stakeholders and multiple priorities.
- Experience with community relations, community organizations, event coordination, public-facing activities or nonprofit partnerships strongly preferred.
- Experience working in a manufacturing or industrial environment preferred.
- Intermediate proficiency with Microsoft Outlook, Word required. Advanced proficiency with Excel and PowerPoint required.
EDUCATION REQUIREMENTS
- High school diploma or equivalent required.
- Associate degree or additional education in business administration, communications, community relations or a related field preferred.
SUPERVISORY RESPONSIBILITY
- This position has no direct supervisory responsibility.

PAY RANGE
- $59,000- $98,000
