SALARY RANGE: The anticipated salary range for this role is $ 55,000 to $ 80,000 annually. This range reflects a good faith estimate based on the targeted level for the role and typical compensation benchmarks across U.S. locations. Actual compensation may vary depending on the selected candidate’s qualifications, experience, geographical location, and internal alignment.
SUMMARY
The Project Coordinator I will play a key role in tracking progress, facilitating communication, and ensuring that all project requirements are met within the proposed timelines and budgets.
RESPONSIBILITIES
The following job functions are a basic requirement but are not limited to and may be assigned other duties.
- Coordinate project activities and resources to ensure timely completion of deliverables.
- Assist PMs in executing AS9100 processes to include the following:
- Scheduling and documenting Contract Kick-Off Meetings
- Ensuring PMs review and update Risk Trackers
- Ensuring PMs are distributing Customer Surveys
- Coordinate project activities and resources to ensure timely completion of deliverables.
- Assist Project Managers (PMs) in executing AS9100 processes, including:
- – Scheduling and documenting Contract Kick-Off Meetings
- – Ensuring PMs review and update Risk Trackers
- – Ensuring PMs distribute Customer Surveys
- – Managing all PMO meeting invites and facilitating meetings (Updates, Tag-Ups, Risk Reviews, KPI Reviews)
- Update PM trackers (e.g., USMC Prod/Del Tracker).
- Alert PMs to estimated completion date (ECD) changes.
- Monitor Global Support RMA trackers and notify PMs of stale status.
- Create and update high-level schedules (e.g., LR/LE milestones).
- Serve as the ADS point of contact for update requests.
- Maintain PMO travel and PTO tracker.
- Maintain consistent and clear communication across all project teams.
- Use project management tools to track deadlines and manage task lists.
- Serve as the primary point of contact for project stakeholders, including government clients, subcontractors, and internal team members.
- Schedule and facilitate project meetings, prepare agendas, document meeting minutes, and follow up on action items.
- Track project milestones, deadlines, and budget parameters to ensure adherence to plans.
- Assist in developing project plans, schedules, and budgets in collaboration with PMs and other team members.
- Monitor and report on project progress, identify risks, and recommend mitigation strategies.
- Maintain accurate and updated project documentation, including contracts, purchase orders, and change orders .
- Collaborate with cross-functional teams to ensure alignment with organizational objectives.
REQUIRED QUALIFICATIONS
- Minimum of 3 years of experience working as a project coordinator or in a similar role, preferably in a government contracting environment.
- Minimum of 3 years of experience supporting large scale programs (over $1M annually) orchestrating program-related tasks.
- Ability to manage several tasks at once and exercise independent judgment related to daily administration of projects.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- High School diploma/GED
- Proficiency in project management tools and software, such as Microsoft Project, Excel, etc.
PREFERRED QUALIFICATIONS
- Knowledge of government contracting regulations and procedures
- Experience with UAV work and gimbals
- Bachelor’s degree in business administration, project management, or a related field
- PMP certification or similar credentials

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS
The work environment may involve a standard office setting while also incorporating elements of a production area. Employees will use standard office equipment, including computers, and must demonstrate stamina to sit or stand while maintaining attention to detail despite potential interruptions. The role may require occasional activities such as walking, climbing, stooping, crouching, and bending. Vision is necessary for reading printed materials and a computer screen, while hearing and speech are essential for effective communication both in person and over the telephone. Additionally, the position may necessitate travel by air or automobile. Employees may be required to use personal protective equipment, including safety glasses, safety shoes, and shop coats, to ensure safety in the production environment. Employees may be able to lift up to 30 pounds as needed.
