About this role

Trinity Episcopal School seeks a temporary, part-time Front Office Coordinator to cover a leave of absence. Reporting directly to the Chief of Staff, this vital role requires 25 hours per week to manage the campus reception area, coordinate administrative logistics, and cultivate a welcoming, secure environment for our community. The core mission of this position is to support Trinity Episcopal School's mission, policies, and values while ensuring smooth, professional, and efficient daily front-of-house operations.

Primary Responsibilities include the following:

Front Office/Reception

- Receive visitors, guests, faculty, and staff in a friendly, courteous manner, and be aware that their demeanor is a reflection of the School as a welcoming and inclusive community

- Ensure security by directing campus visitors to sign in/out and wear a visitor badge

- Maintain organization and cleanliness of desk, front office area, and lobby

- Check-in students for late arrivals and ensure they get to the appropriate classroom/location

- Monitor and ensure the safety of students waiting for rides after the standard carpool window closes.

- Answer incoming calls to the School and direct callers to the appropriate personnel

- Answer questions regarding school events or other business

- Filter solicitations

- Adapt to circumstances that arise with a calm, respectful demeanor

Administrative

- Receive, sort, and distribute incoming mail and packages to the appropriate staculty, departments, or mailboxes.

- Assist users with office equipment—copiers, printing jobs, laminators, postage machine

- Greet prospective families warmly and promptly when they enter the school and ensure that they are comfortable and clear about the agenda for their visit.

- Inform the admission team promptly when they have a visitor.

- Perform other duties as assigned

Qualifications

The successful candidate will have the following qualities:

- A love for students and a willingness to go above and beyond in the best interests of students

Education and Work Experience

- High School diploma or Bachelor’s Degree preferred but not required

- Personable, warm, and welcoming with a desire to build relationships

- Ability to be flexible and work as part of a team

- Show discretion and sensitivity to confidentiality

- Strong communication and organizational skills

Skills and Qualifications

- Proficiency in Google Suite including Sheets, Docs, Gmail, and Calendar

- Proficiency with MS Excel and Word

- Proficiency with Google Forms

- FACTS Management

- Canva

- Visitor Management systems
