About the Role
We are seeking a detail-oriented and driven Logistics Coordinator to join our team at our Burlington, Ontario warehouse. This is a hands-on, on-site role at the heart of our cross-border supply chain. You will manage the full lifecycle of goods flowing from our manufacturing partners in Asia into Canada, and onward to customers in the United States — ensuring full regulatory compliance, maximizing duty recovery, maintaining accurate inventory records, and producing invoices using Inflow Inventory software.
Key Responsibilities:
International Import & Export Operations
- Coordinate importation of goods from Asia to Canada, working with customs brokers and carriers to ensure timely, compliant clearance and delivery
- Prepare and review import documentation including commercial invoices, packing lists, bills of lading, certificates of origin, and CFIA permits where applicable
- Manage export of goods from Canada to the United States in accordance with CBSA export reporting requirements and U.S. CBP entry requirements (including HTS classification and ISF filings)
- Ensure compliance with CBSA, U.S. CBP, CUSMA/USMCA trade agreement provisions, and applicable trade sanctions or restrictions
- Monitor tariff classifications (HS codes) and ensure accurate duty and tax assessments on all cross-border shipments
- Liaise with customs brokers to resolve holds, discrepancies, or examinations
- Track all inbound and outbound shipments and proactively communicate status updates
Duty Drawback Claims
- Identify eligible shipments for duty drawback under the Canadian Customs Act and CBSA’s Duty Drawback Program
- Prepare and submit duty drawback claims to CBSA with accurate, complete supporting documentation within legislated timeframes
- Maintain meticulous records of imported goods, re-exported goods, and associated duties paid to support claims and audits
- Reconcile drawback refunds received against submitted claims and report discrepancies
- Stay current on changes to CBSA drawback regulations and procedures
Inventory Management
- Conduct regular physical inventory counts at the Burlington warehouse and reconcile against system records
- Maintain accurate stock levels in Inflow Inventory: receiving shipments, processing adjustments, managing product locations
- Investigate and resolve inventory discrepancies, damages, or shortages promptly
- Generate inventory reports and provide visibility on stock levels, slow-moving items, and reorder points
Invoicing & Documentation
- Create accurate, timely customer invoices using Inflow Inventory for outbound shipments to U.S. customers
- Maintain organized records of invoices, shipping documents, and correspondence for audit readiness
- Coordinate with finance to reconcile invoiced amounts and resolve billing disputes
Required:
- Minimum 2–4 years of experience in logistics, trade compliance, or supply chain coordination with direct exposure to Asia–Canada imports and Canada–USA exports
- Working knowledge of CBSA processes, HS tariff classification, CUSMA/USMCA rules of origin, and Canadian import/export regulations
- Hands-on experience filing or supporting duty drawback claims with CBSA
- Proficiency with Inflow Inventory or a comparable inventory management system
- Exceptional attention to detail and organizational skills
- Must hold Transportation of Dangerous Goods (TDG) certification
- Safety shoes/boots required; valid powered pallet jack (walkie) operator license required
- Must be legally authorized to work in Canada
- Excellent command of English
Preferred:
- Post-secondary education in Supply Chain Management, International Business, Customs Administration, or related field
- CIFFA certificate, CSCMP designation, or other recognized trade/logistics credential
- Familiarity with CBSA’s CARM portal and Release Prior to Payment (RPP) program
- Experience with freight forwarders on FCL/LCL ocean shipments from Asia
Contract details: 12-month contract, on-site in Burlington, Ontario, Monday through Friday.
